Position: Service Administrator

Work setup: Hybrid | Day shift

Your role:

Job Setup and Administration

  • Set up service jobs received via Plumbing and Electrical inboxes (~700 jobs/month; approx. 50 hours/month). This includes:Creating job records in simPRO Assigning relevant job details Ensuring all required information is accurately captured before work commences
  • Convert approved service quotes into active jobs, ensuring:Job cards are correctly set up Jobs are dispatched to field crews promptly
  • Tag and track jobs throughout the job lifecycle in simPRO, maintaining accurate status updates to support:Scheduling Invoicing Reporting

Invoicing and Claims

  • Invoice approximately 700 jobs per month (~60 hours/month) once jobs are marked Ready to Invoice in simPRO
  • Send invoices directly from simPRO to clients in a timely manner
  • Submit claims and invoices through external client portals, ensuring:Accuracy Compliance with client requirements Minimal queries and rejections
  • Review and process supplier and subcontractor invoices by:Verifying alignment with purchase orders and job records Confirming accuracy prior to approval

Routine Maintenance Administration

  • Process Routine Maintenance (RM) invoicing for approximately 150 jobs per month (~30 hours/month), including:Reviewing completed job records Counting tested items Recording failures in the designated spreadsheet Preparing invoices based on applicable quantity × rate
  • Contact schools to confirm RM visit dates (~10–16 hours/month; completed by approximately the 18th of each month)
  • Once the Perth-based Service Administrator schedules dates in simPRO:Send templated confirmation emails to schools Confirm visit dates/times Request relevant contact details

Reporting and Compliance Submissions

  • Prepare and submit the Monthly Plumbing Report, including:Job data consolidation Status updates Performance metrics
  • Complete Touchstone and BRAF submissions accurately and within required timeframes
  • Support KPI reporting and PFM submissions in collaboration with the Service Team Leader by:Providing accurate data Preparing required summaries and reports

Coordination and Communication

  • Assist with Service Run Sheets to support:Scheduling Coordination of field crews Collaboration with the Service Team Leader
  • Provide administrative support for:Tender preparation Estimate preparation Subcontractor performance tracking
  • Maintain awareness of HSEQ compliance requirements at a business level and support continuous improvement initiatives where relevant
