Your Role:

As a Virtual Assistant, you will:

  • Consolidate data from project sites and departments to assist in preparing daily, weekly, and monthly Management Information (MI) reports.
  • Update complex spreadsheets, trackers, and visual dashboards to maintain high data accuracy and readability for executive leadership.
  • Manage the Operations Manager's calendar, schedule virtual meetings, and coordinate professional email correspondence.
  • Organize digital files, engineering blueprints, and project documentation in secure cloud storage under strict document control standards.
  • Perform routine data entry, verify field data integrity, execute basic invoice reconciliations, and draft standard operating procedures (SOPs), memos, and meeting minutes.

What You Need:

Non-negotiables

  • 1–2 years of proven experience as a Virtual Assistant, Administrative Support, or Operations Support Specialist.
  • Advanced proficiency in Microsoft Excel and Google Sheets for data consolidation, formatting, and reporting.
  • Excellent written and verbal English communication skills for executive business correspondence.
  • High level of accuracy, strong analytical capabilities, and keen attention to detail when processing numerical metrics.
  • Strong organizational and time-management skills to work independently and meet strict reporting deadlines in a remote environment.

Preferred skills/expertise

  • Hands-on experience with data visualization tools and dashboard creation.
  • Familiarity with AI tools and implementation to automate routine administrative tasks and streamline workflows.
  • Knowledge or experience working in environments compliant with ISO standards (ISO 9001, ISO 14001, ISO 45001, ISO 27001).
  • Experience with basic invoice reconciliation, financial data tracking, and document control systems.
  • Background supporting engineering, construction, or project management operations.
