Job Description
The Fleet and Logistics Coordinator works under the supervision of the Distribution, Logistics, and Fleet Regional Manager. In this role, the person is responsible for system wide vehicle fleet procurement to maintenance along with coordinating outbound logistics and activities for every location. This role supports the timely moving of supplies and vehicles within the healthcare system. The Fleet and Logistics Coordinator provides physical and clerical assistance necessary to support Fleet Operations and optimal use of vehicles. Fleet operations includes but not limited to licensing and title, approval and payment of fleet related invoices, keeping current fleet inventory records, coordinating receipt and disposal of vehicles, fleet use optimization analysis, regulatory compliance, collision and repair coordination, vehicle inspection, verifying of preventative maintenance and scheduling necessary repairs. This role is also responsible for coordinating courier services for Materials Management including but not limited to directing activities of 3rd party couriers, lab interaction, optimizing courier routes and analysis, contracting and billing. Expectations are for this role to be customer centric and provide exceptional support.
Responsibilities
- Develop and maintain Fleet and Logistics KPI’s (Key Performance Indicators) to remove waste while promoting continuous improvement.
- Train and track the use of fuel consumption by caregiver and process invoices in a timely manor.
- Create and update training materials/education around Fleet use expectations. Ensure Fleet and Logistics standards and procedures are current and conveyed to caregivers as needed.
- Coordinate purchase, lease, and rental of vehicles both internally and externally including assisting in crash investigations.
- Facilitate coordination of maintenance schedule of all fleet vehicles with respective users and area.
- Meet with caregivers and department leadership at frequent intervals to seek ways to create superior customer services, communication, and satisfaction levels.
- Coordinate pick-up and delivery of vehicles for Mosaic business needs.
- Monitor and ensure completeness of all insurance, license, registration, and annual vehicle renewal requirements for fleet vehicles and caregivers driving for Mosaic.
- Provide scheduling and logistics support for all courier activities for the entire system.
- In collaboration with others, create and deploy plans to assure stakeholder satisfaction/engagement goals are met through engaging others to understand and actively strive toward high performance.
- Create, support, and execute strategies around system logistics and fleet services.

Education
- H.S. Diploma - Ability to read, write, count and reason. Must have a clean driving record with no history of moving or non-moving violations. - Required
- Bachelor's Degree - Business, Law, Finance, or Equivalent - Preferred
Work Experience
- 3 Years - Experience in Fleet Services and/or Logistics environment, will be accepted ILO Bachelor’s Degree. - Preferred
- 1 Year - Knowledge of Supply Chain concepts and related best practices. - Preferred
- Understand how to create and deploy effective performance improvement strategies using organizational resources to their best benefit. Understands the disciplines of performance improvement. - Required
- Competent in using current computer software (word, excel & access), knowledgeable of using the internet. The ability to be organized. Adaptable to work in a fast-paced working environment. - Required
Licenses and Certifications
- Driver's License - Valid In State - Missouri Class E driver’s license and be insurable through Mosaic Life Care’s auto insurance carrier - Required within 30 Days
- MODOT Certification: Transit Grant Compliance Certification - Required within 1 Year

Skills and Abilities
Essential Technical/Motor Skills
- Knowledge of office procedures.
- Fine motor skills, manipulation of small equipment and items, typing and computer skills, speaking clearly, answering telephone.
- The ability to operate and troubleshoot a copier and fax machine.
- Must be able to use a 10-key calculator and the numeric keyboard on the computer keyboard.
- Must demonstrate the ability to handle confidential information.
Interpersonal Skills
- Must be courteous; work in a professional, caring manner with internal and external customers; have the ability to work with interruptions, and flexibility in hours and workflow, foster teamwork and promote service and quality in everything.
- Ability to communicate with multiple Team Leaders and staff from other departments.

Essential Physical Requirements
- Regularly required to sit, reach with hands and arms, stand, walk, climb, balance, stoop, kneel or crouch.
- Must have the ability to lift and/or move up to 10 to 25 pounds.
- Will be required to drive large vehicles safely and follow Mosaic Life Care’s Drivers Standard.

- Must be able to visually read various handwritten, typed or computerized reports in order to type needed information or enter data into computer programs.
