About the Role

Moments Logistics Pte. Ltd. is looking for a Accounts & Logistics Admin Assistant to join our growing team.

You will work closely with our operations team to coordinate daily delivery activities, maintain operational records, follow up with drivers and delivery personnel, and ensure that administrative matters are properly managed. You will also assist with accounting tasks such as invoicing, payment records and bookkeeping.

Key Responsibilities

Accounts & Finance

  • Handle day-to-day accounting and bookkeeping activities
  • Maintain accurate accounts payable and accounts receivable records
  • Prepare and issue customer invoices, credit notes and payment documents
  • Record daily financial transactions and maintain proper accounting records
  • Perform bank and payment reconciliations
  • Monitor outstanding invoices and follow up on receivables
  • Process supplier invoices and assist with payment preparation
  • Verify invoices and supporting documents before processing
  • Maintain proper filing and documentation of financial records
  • Assist with monthly closing and preparation of management reports
  • Prepare accounting schedules and supporting documents for audit and tax purposes
  • Assist with payroll-related matters and staff claims
  • Liaise with customers, suppliers and vendors on billing and payment matters
  • Work with external accountants, auditors and other professional parties when required
  • Assist management with financial information and ad-hoc accounting analysis
  • Ensure accounting records are maintained accurately and in a timely manner

Logistics Administration & Operations

  • Provide administrative support to the daily logistics operations team
  • Coordinate with drivers and delivery personnel on operational matters
  • Assist with attendance, deployment and route records
  • Monitor delivery status and maintain operational records
  • Prepare operational reports
  • Assist with tracking delivery performance, claims, penalties and discrepancies
  • Follow up on failed deliveries and operational issues
  • Maintain records and documentation relating to drivers and delivery personnel
  • Perform data entry and updates on logistics systems
  • Assist with customer and client coordination where required
  • Support the operations team with ad-hoc administrative tasks

Requirements

  • Diploma/Degree in Accounting, Finance, Business or a related discipline
  • Preferably 2–5 years of relevant accounts experience; lesser experience is also welcome to apply
  • Strong/some understanding of accounting principles and bookkeeping
  • Experience in accounts payable, accounts receivable and bank reconciliation
  • Experience using accounting software
  • Proficient in Microsoft Excel
  • Strong attention to detail and numerical accuracy
  • Good organisational and time-management skills
  • Able to work independently and take ownership of assigned responsibilities
  • Good communication and interpersonal skills
  • Comfortable working in a fast-paced SME environment
  • Willing to support logistics and operational administrative duties when required
  • Candidates with experience in SME accounting or logistics/transportation companies will have an advantage
  • Salary commensurates with experience and qualifications
