Job Summary
Support daily office operations by managing communications, scheduling, document preparation, and administrative tasks to enable efficient workflow and assist senior management in achieving organizational goals.
Responsibilities
- Provide day-to-day administrative and clerical support to ensure smooth and efficient office operations.
- Handle general office duties, including answering phone calls, responding to emails, and managing incoming and outgoing correspondence.
- Schedule and coordinate meetings, appointments, and travel arrangements for staff and management.
- Prepare meeting agendas, take accurate meeting minutes, and distribute relevant documents and follow-up actions to the appropriate parties.
- Assist in organizing company events, conferences, meetings, and training sessions.
- Maintain accurate, organized, and up-to-date filing systems, including both electronic and physical records.
- Prepare, edit, format, and organize documents, reports, presentations, and other business materials as required.
- Provide administrative support to senior management, including calendar management, meeting coordination, and follow-up on assigned tasks.
- Assist with preparing reports, spreadsheets, presentations, and other materials for meetings and business activities.
- Conduct basic research, gather information, and compile data to support various projects and reports.
- Coordinate administrative matters with internal departments, external vendors, and other stakeholders when required.
- Perform other administrative duties and ad-hoc tasks as assigned.
Required competencies and certifications
- Minimum Diploma and above.
Preferred competencies and qualifications
- Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities effectively.
- Strong attention to detail and accuracy when handling documents, records, and administrative tasks.
- Good written and verbal communication skills.
- Proficient in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
- Ability to work independently with minimal supervision and contribute effectively as part of a team.
- Responsible, proactive, well-organized, and willing to learn.
