Job Summary

The Administrative Assistant supports daily operations through customer service and administrative tasks, ensuring smooth office functions and positive engagement with students, parents, and staff in a dynamic environment.

Responsibilities

  • Manage counter duties including handling enquiries and collecting fees accurately and timely
  • Process and follow up on student registrations and payments to ensure accurate fee collection
  • Schedule student lessons and coordinate with teachers on lesson plans and replacements
  • Deliver responsive customer service by proactively following up on emails, walk-ins, and social media enquiries
  • Apply strong product knowledge to support parents’ inquiries and assist in marketing and promotion efforts
  • Assist in preparing sales proposals for services, products, materials, and books
  • Maintain and organize office supplies, equipment, and inventory to support daily operations
  • Update and ensure accuracy of student database records and maintain organized filing systems
  • Prepare reports, presentations, and documentation for internal and external stakeholders
  • Manage incoming and outgoing correspondence with timely and appropriate responses
  • Provide administrative and operational support to the director
  • Oversee facilities management for studio spaces
  • Perform basic accounting tasks including tracking expenses, timesheets, and invoices
  • Undertake ad hoc tasks such as marketing research, light bookkeeping, and additional administrative duties as assigned
  • Adapt work schedule to cover part-time hours averaging 10-18 per week, including weekdays, weekends, and evenings for studio events

Preferred competencies and qualifications

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and basic graphic design tools
  • Familiarity with social media platforms and digital marketing strategies
  • Strong written and verbal communication skills for effective interaction with team members and external contacts
  • Excellent organizational skills with attention to detail to manage multiple tasks simultaneously
  • Ability to work independently, take initiative, and prioritize tasks effectively
  • Strong problem-solving skills and adaptability to changing situations
  • Customer-oriented mindset with experience in providing excellent service
  • Positive attitude, willingness to learn, and ability to work well in a team environment
  • Interest or knowledge in music and art
  • Minimum one year of counter service experience preferred
  • Educational background at Higher Secondary/Pre-U/'A' Level, Diploma, or Advanced/Higher/Graduate Diploma
  • Commitment to permanent part-time role for at least 12 months
  • Fluent proficiency in English (spoken and written) to communicate effectively in customer service and administrative tasks

Other Information

  • Location: Serangoon Garden, Singapore
  • Working hours: At least two weekdays between 10am to 7pm and weekends (Saturday or Sunday) between 9am to 5pm
  • Salary: $9-11 per hour, depending on qualifications and experience
  • Job Types: Permanent Part-Time with potential for full-time conversion for career advancement
