ADMIN COORDINATOR – PURCHASING, ORDER COORDINATION & BASIC DRAFTING

JOB SUMMARY

We are looking for a detail-oriented and organised Admin Coordinator to support our daily operations across purchasing, supplier coordination, order processing, basic drafting and project administration.

The successful candidate will play an important role in ensuring that customer orders, material purchases and production requirements are properly coordinated from quotation confirmation through procurement, drafting, production and installation.

This position is suitable for someone who is organised, responsible, numbers-oriented and comfortable working with basic technical drawings and aluminium & glass products.

KEY RESPONSIBILITIES

1. Purchasing & Procurement

  • Prepare and process purchase orders based on approved quotations and project requirements.
  • Source and purchase aluminium profiles, glass, hardware, accessories and other materials from approved suppliers.
  • Obtain and compare supplier quotations, pricing and lead times.
  • Coordinate with suppliers on availability, delivery schedules and order status.
  • Follow up on outstanding purchase orders and deliveries.
  • Check delivered materials against purchase orders and delivery orders.
  • Maintain accurate purchasing records and supplier information.
  • Monitor material costs and highlight significant price changes or discrepancies to management.

2. Order & Project Coordination

  • Process confirmed customer orders and ensure all relevant information is complete.
  • Coordinate between Sales, Purchasing, Technical, Production and Installation teams.
  • Prepare internal order documentation and job sheets.
  • Track project progress, material requirements and delivery schedules.
  • Follow up on outstanding items to ensure projects are completed on schedule.
  • Maintain organised records of quotations, purchase orders, drawings, delivery orders and invoices.
  • Update management on order and project status when required.

3. Basic Drafting & Technical Drawings

  • Prepare simple aluminium and glass drawings based on site measurements, quotations and customer requirements.
  • Produce basic layouts, elevations and dimensions for doors, windows, grilles and related aluminium/glass works.
  • Amend drawings according to site conditions and technical requirements.
  • Prepare drawings for internal production, supplier ordering and installation reference.
  • Ensure dimensions, opening directions, panel configurations and hardware positions are clearly indicated.
  • Work closely with the technical/installation team to clarify measurements and drawing requirements.
  • Maintain proper revision control for drawings.

Knowledge of AutoCAD or similar drafting software is preferred.

4. Documentation & Administration

  • Prepare and maintain purchase orders, sales orders, delivery documents and project records.
  • Update Excel spreadsheets and internal systems accurately.
  • Maintain proper filing of supplier and project documentation.
  • Assist with invoice checking and matching of Purchase Order / Delivery Order / Invoice.
  • Support monthly purchasing and project cost reports.
  • Assist management with administrative and operational tasks when required.

5. Supplier & Internal Communication

  • Communicate professionally with suppliers, contractors and internal departments.
  • Follow up on quotations, orders, deliveries and outstanding materials.
  • Escalate delays, discrepancies or urgent purchasing requirements promptly.
  • Build good working relationships with key suppliers and service providers.

REQUIREMENTS

Essential

  • Minimum 2 years of relevant experience in administration, purchasing, operations coordination or construction-related industries.
  • Experience in aluminium, glass, renovation, construction, architectural hardware or building materials is an advantage.
  • Good knowledge of Microsoft Excel, Word and Outlook.
  • Able to prepare and understand basic measurements and dimensions.
  • Good organisational and follow-up skills.
  • Strong attention to detail and accuracy.
  • Able to work independently and manage multiple tasks.
  • Good communication and coordination skills.
  • Responsible, proactive and willing to learn.

Technical Skills

Candidates with experience in any of the following will have an advantage:

  • AutoCAD / CAD software
  • Aluminium & glass shop drawings
  • Aluminium doors and windows
  • Sliding and swing door systems
  • Glass specifications
  • Door/window hardware
  • Aluminium profiles
  • Site measurements
  • Purchase order and procurement systems

IDEAL CANDIDATE

The ideal candidate does not need to be a professional drafter. However, he/she should be comfortable learning simple technical drawings, understanding dimensions and translating project requirements into clear purchasing and order instructions.

  • Material availability and delivery coordination
  • Accuracy of order documentation
  • Accuracy of basic drawings and dimensions

  • Timeliness of administrative work
  • Supplier response and follow-up
  • Reduction of purchasing/order errors
  • Overall support to Sales, Operations and Installation teams
