Job Summary
You will support the daily operations of the Singapore office through office administration and HR coordination, including recruitment support, onboarding, employee records management, and vendor liaison. This role requires attention to detail and ownership of tasks to completion.
Responsibilities
- Provide daily administrative and operational support to management to ensure smooth office functioning
- Manage and keep track on office supplies to maintain adequate stock levels and support workplace needs
- Coordinate office facilities, deliveries, and document filing to maintain organized office operations
- Liaise with vendors, building management, and service providers to resolve outstanding issues promptly
- Arrange maintenance and servicing of office equipment to ensure operational readiness
- Handle documentation, filing, and record-keeping accurately to maintain up-to-date records
- Assist with procurement by sourcing vendors, obtaining quotations, and comparing options for purchases and services
- Welcome and attend to office visitors, deliveries, and general enquiries professionally
- Maintain administrative trackers and support meeting and visitor arrangements efficiently
- Assist with job postings, application screening, interview scheduling, and candidate communication to support recruitment
- Coordinate onboarding and offboarding documentation, access, and equipment arrangements for new and departing employees
- Maintain employee records, leave, attendance information, and HR trackers accurately and confidentially
- Assist with employee claims processing and routine HR correspondence
Required competencies and certifications
- Minimum GCE ‘O’ Level or equivalent
- At least one year of office administration experience with hands-on exposure to HR tasks such as recruitment coordination, onboarding, employee records, or leave administration
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Strong organizational and coordination skills to prioritize tasks, follow up independently, and maintain accurate records
- Clear communication skills and a professional approach with colleagues, candidates, and external parties
- Positive attitude with a hands-on and proactive mindset
Preferred competencies and qualifications
- Diploma in Business Administration, Human Resources, or a related field
- Familiarity with Singapore HR practices
