Job Summary

The Admin Operations Executive provides administrative, HR, and operational support to ensure smooth daily operations at Head Office and retail outlets. This role manages office administration, employee records, outlet coordination, stock and uniform inventory, and assists with repair and maintenance tasks.

Responsibilities

  • Manage daily office administration to ensure smooth general office operations
  • Maintain accurate administrative records, documentation, trackers, and filing systems
  • Provide receptionist and visitor support to facilitate office interactions
  • Coordinate and follow up on administrative matters between Head Office and retail outlets
  • Manage daily outlet attendance, leave, roster, and Off-In-Lieu records using InfoTech system
  • Prepare and update monthly outlet work schedules and staff movement records
  • Provide HR administrative support including employee documentation, onboarding, offboarding, InfoTech updates, and MOM work pass matters
  • Support recruitment coordination and candidate administration as needed
  • Assist with ad-hoc administrative and HR duties assigned by Management
  • Assist during outlet visits with basic repair and maintenance tasks under supervision
  • Coordinate and follow up on repair and maintenance issues reported by outlets, liaising with contractors or service providers as required
  • Assist with outlet stock ordering and monthly picking and packing of stock orders
  • Manage staff uniform inventory including issuance, exchange, return, and record keeping
  • Assist with other ad-hoc operational duties assigned by Management

Preferred competencies and qualifications

  • NITEC, Higher NITEC, Diploma or equivalent, preferably in Business Administration, Operations, or related field
  • 1–2 years of administrative or operations support experience
  • Proficiency in Microsoft Word and Excel
  • Experience with HR/attendance systems or MOM work pass administration is an advantage
