Our ideal team member We are looking for an experienced Administration Manager to supervise daily support operations of our company and plan the most efficient administrative procedures.

A great administration manager has excellent communication and organizational skills. The ideal candidate will be well-versed in departmental procedures and policies and will be able to actively discover new ways to do the job more efficiently.

The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.

Job Responsibility

  1. Administrative Operations: Oversee daily office administration, including facilities, security, and vendor management, ensuring smooth and efficient operations.
  2. Policy & Compliance: Develop, implement, and monitor administrative policies, procedures, and archival systems to ensure compliance with company standards and legal requirements.
  3. Team Leadership: Supervise and guide administrative staff, assign tasks effectively, and foster a collaborative work environment to achieve departmental goals.
  4. Government Liaison & Public Affairs: Establish and maintain communication channels with government agencies, monitor policy changes, and advise management on compliance and resource utilization.
  5. Workplace Management (5S & EHS): Lead initiatives in 5S workplace organization and Environment, Health & Safety (EHS) compliance, conduct inspections, and implement corrective actions.
  6. Legal & Contract Oversight: Draft, review, and standardize company contracts, manage approval processes, and mitigate legal risks in business operations.
  7. Corporate Culture & Events: Plan and coordinate company events, cultural programs, and communication materials to strengthen employee engagement and corporate image.
  8. Logistics & Support Services: Manage canteen, dormitory, cleaning, transport, and security services to meet employee needs and maintain a safe, supportive workplace.
  9. Meetings & Reception: Coordinate meeting room usage, prepare logistics for corporate meetings, and handle guest reception to project a professional company image.

Job Requirements

  1. Diploma and/or above in business administration or relative field.
  2. Minimum of 3 years’ proven experience in full-spectrum administrative management within manufacturing or trading companies, with prior responsibility as an administrative lead.
  3. Familiar with workplace safety, environmental protection, and fire safety regulations, with hands-on experience in compliance monitoring and enforcement.
  4. Strong interpersonal and communication skills, capable of liaising effectively with government agencies and external stakeholders, and building networks quickly.
  5. Demonstrated career stability, with average tenure of at least 3 years per employer in the past decade, and not less than 2 years in the past 5 years.
  6. Assess staff performance and provide coaching and guidance to ensure maximum efficiency
  7. Oversee facilities services, maintenance activities and tradespersons (e.g electricians)
  8. Organize and supervise other office activities (recycling, renovations, event planning etc.)
  9. The ability to work under pressure.
  10. Availability to work within opening hours (e.g. evenings, holidays, weekends).
