About Our Client

Our client is a semiconductor manufacturing company with operations in Singapore and expansion plans across the region.

To support its continued growth, our client is looking for a hands-on Administration Manager to oversee the daily administrative operations of its semiconductor factory and adjoining office in Singapore.

Job Summary

This is a hands-on, execution-focused position covering factory and office administration, facilities, workplace cleanliness, employee experience, vendor management and corporate culture initiatives.

The successful candidate must demonstrate strong ownership and initiative, proactively identify issues and follow through until they are fully resolved.

Key Responsibilities

  • Manage the daily administration, general affairs and operational support of the factory and office.
  • Serve as the key administrative liaison between the factory and office, coordinating requirements across Production, Engineering, Warehouse, HR and other departments.
  • Ensure the cleanliness and proper upkeep of all office areas and designated factory areas, including common areas, meeting rooms, pantry areas, washrooms and relevant workspaces.
  • Establish cleaning standards and inspection procedures, manage cleaning service providers, conduct regular site inspections and follow up on identified issues.
  • Oversee office decoration, space enhancement, greenery, signage and corporate culture displays to improve the workplace environment and company image.
  • Continuously improve workplace convenience, shared facilities, employee care and day-to-day comfort to enhance the overall employee experience.
  • Manage the procurement, inventory and cost control of office supplies, pantry items, employee welfare materials and other administrative resources.
  • Source, evaluate and manage vendors for property services, cleaning, security, repairs, air-conditioning, office plants and other administrative requirements.
  • Obtain and compare quotations, negotiate contracts, monitor service quality and manage vendor renewals.
  • Oversee office and factory facilities and promptly follow up on maintenance, repairs, safety concerns and urgent operational issues.
  • Support HR administrative processes, including employee onboarding and offboarding, access card management, seating arrangements, attendance administration and employee welfare coordination.
  • Plan and execute employee activities, festive decorations and corporate culture initiatives to enhance employee engagement.
  • Liaise with Singapore government agencies, building management and external organisations when required.
  • Provide regular reports and operational updates to management and relevant stakeholders based in China, ensuring that management requirements are accurately communicated and implemented.
  • Perform other administrative and operational duties assigned by management with ownership and accountability.

Required Qualifications and Competencies

  • Previous factory administration experience in a manufacturing environment is required.
  • Strong spoken and written English is required for local operations and communication with employees, government agencies, building management and vendors in Singapore.
  • Proficiency in Mandarin is required because the role involves regular business communication, reporting and coordination with management and stakeholders based in China who primarily use Mandarin.
  • A hands-on working style and willingness to personally manage and follow through on matters ranging from daily administrative tasks to vendor management, facilities maintenance and workplace improvement.
  • Strong organisational, communication, coordination, execution, cost-control and problem-solving skills.
  • Responsible, detail-oriented and responsive, with the ability to work independently in a fast-paced factory environment.
  • Proficiency in Microsoft Office applications.

Preferred Qualifications and Competencies

  • Experience in the semiconductor, electronics, precision manufacturing or a related industry.
  • Familiarity with administrative operations, vendor management and applicable employment practices in Singapore.
  • Strong service mindset and a genuine interest in improving the employee and workplace experience.
  • Experience in facilities coordination, workplace improvement or corporate culture initiatives.
