Requirements

  • Minimum of 2 years' experience in an administrative role, preferably within an early childhood education setting.
  • Proficient in Microsoft Office applications and general computer skills.
  • Strong verbal and written communication skills in English and Mandarin, to effectively communicate with staff at all levels, parents, families, professionals, and community partners from diverse backgrounds and cultures.

Roles and Responsibilities

1. Administration and Reporting

  • Maintain efficient and high-quality administrative processes in accordance with headquarters' policies, procedures, and reporting requirements.
  • Ensure compliance with ECDA licensing requirements, regulatory standards, and other relevant reporting obligations.

2. Enrolment, Sales and Conversion

  • Support and facilitate school tours for prospective families.
  • Maintain accurate records of enquiries, school visits, enrolment activities, and conversion outcomes.
  • Assist in enrolment forecasting and related administrative processes to support enrolment objectives.

3. Health, Safety and Nutrition

  • Support the day-to-day operational implementation of standard operating procedures relating to children's health, nutrition, hygiene, supervision, safety, and overall well-being.

4. Environment and Estates

  • Support the daily operational management of the school's facilities, environment, and equipment in accordance with established standard operating procedures.
  • Assist in maintaining a safe, secure, clean, and conducive environment that reflects Odyssey's brand standards for children, staff, families, and visitors.

5. Family Engagement

  • Support initiatives that foster positive, customer-focused relationships with families.
  • Maintain open, timely, and professional communication to build trust, confidence, and ongoing engagement with families.

6. Partnership Building

  • Develop and maintain positive working relationships with colleagues, multidisciplinary professionals, community organisations, and business partners to support the school's operations and programmes.

7. Business and Programme Continuity

  • Support the school's operational and programme objectives, including financial administration, staff engagement and development, customer engagement, curriculum support, and operational excellence.

8. Teamwork and Collaboration

  • Foster a collaborative working environment through effective communication, teamwork, and cooperation with centre leaders and colleagues across the organisation.

9. Networking and Brand Advocacy

  • Promote the Odyssey programme philosophy and unique value proposition through professional interactions with families and stakeholders.
  • Deliver high standards of customer service across all touchpoints to enhance customer satisfaction and support the school's reputation.

10. Professional Development

  • Support and participate in professional learning and continuous improvement initiatives.
  • Uphold Odyssey's policies, processes, programme philosophy, culture, and core values, contributing to a professional and positive school environment.
