Centre Administrator

Job Overview

We are looking for a responsible, organised and friendly Centre Administrator to support the daily operations of our children’s enrichment and learning centre.

The Centre Administrator will handle administrative duties, parent and student enquiries, scheduling, records, payments and general centre coordination to ensure smooth day-to-day operations.

Key Responsibilities

Centre Administration

  • Manage daily administrative operations of the centre.
  • Maintain student registration, attendance and enrolment records.
  • Prepare and organise administrative documents and forms.
  • Manage class schedules, teacher schedules and programme timetables.
  • Coordinate classrooms, activities and learning resources.
  • Assist with student arrival and dismissal arrangements.
  • Maintain proper filing and documentation.

Parent & Customer Service

  • Respond to enquiries through WhatsApp, phone, email and social media.
  • Provide parents with information about programmes, classes, fees and schedules.
  • Follow up with prospective parents and enquiries.
  • Assist with student registration and enrolment.
  • Handle parent feedback and escalate matters to management when necessary.
  • Maintain professional and friendly communication with parents.

Payments & Records

  • Assist with collecting and recording programme fees and payments.
  • Issue invoices, receipts and payment reminders where required.
  • Maintain accurate records of student accounts.
  • Assist management with basic sales and administrative reports.
  • Handle petty cash and routine centre expenses when assigned.

Marketing & Social Media

  • Assist with posting content on Instagram, Facebook, TikTok and other platforms.
  • Prepare simple promotional materials, captions and announcements.
  • Update parents and customers on upcoming programmes and activities.
  • Assist with online enquiries and lead generation.
  • Support promotional events, open houses and centre activities.

Programme & Event Support

  • Assist teachers with the coordination of enrichment classes and activities.
  • Help organise learning journeys, heritage tours, workshops and special events.
  • Coordinate logistics such as transport, attendance lists and activity materials.
  • Communicate programme details to parents and staff.
  • Assist with registration and crowd management during events.

Centre Operations

  • Ensure the reception and common areas are neat and organised.
  • Monitor office and classroom supplies and arrange replenishment when needed.
  • Coordinate basic maintenance and operational matters.
  • Support teachers and staff with administrative requirements.
  • Ensure centre policies and safety procedures are followed.
  • Perform other administrative duties assigned by management.

Requirements

  • Minimum GCE O-Level / N-Level; Diploma in Business Administration, Management, Education or a related field is an advantage.
  • Previous experience in administration, customer service, student care, tuition or enrichment centres is preferred.
  • Good communication and interpersonal skills.
  • Comfortable communicating with parents and children.
  • Good organisational and time-management skills.
  • Proficient in Microsoft Office / Google Workspace.
  • Basic knowledge of social media platforms.
  • Able to multitask and work in a fast-paced environment.
  • Responsible, proactive and willing to learn.
