• Opportunity to support communications across media relations, events, digital assets, and communications operations • Exposure to media engagement, official events, public communications, digital asset management, and stakeholder coordination involving media representatives, government agencies, and internal teams

Key Responsibilities

Media Relations Support

• Maintain and update media contact database, including journalists, editors, and media outlets across print, broadcast, and digital platforms • Support the coordination of media accreditation and logistics for events, press conferences, and official visits • Liaise with media representatives on-site and provide coordination support during media engagements • Assist in preparing media briefs and supporting materials for interviews, press conferences, and public engagements

Ad-hoc On-site Event Support

• Provide on-site media and communications support at events, including registration and coordination of media-related logistics and operations • Assist with media liaison duties, including coordination with accredited media representatives during interviews, briefings, and showcases • Support the preparation, printing, and distribution of press kits, including fact sheets, backgrounders, programme information, and multimedia materials • Support post-event administrative follow-up, including compiling media attendance records and feedback where applicable

Digital Repository & Photo Asset Management

• Manage and maintain digital repositories, including SharePoint and Google Drive, ensuring files are properly organized, named, and accessible to relevant team members • Conduct regular housekeeping and archiving of shared drives and repositories, ensuring consistent folder structures and naming conventions • Manage photo repository, including indexing, tagging, and archiving images from events, official visits, and media engagements • Coordinate with photographers and videographers to ensure timely delivery, organization, and proper filing of multimedia assets

Service Manager, Mailbox Management

• Monitor and manage the Service Manager's mailbox, ensuring incoming feedback, enquiries, and complaints are acknowledged and routed to the appropriate officers in a timely manner • Maintain an accurate tracking log of cases, including date received, nature of feedback, assigned officer, and resolution status • Follow up with the Communications team to ensure cases are addressed within stipulated service standards and timelines

Asset Stocktaking &Inventory Management

• Conduct regular stocktaking of the Communications Directorate’s physical assets, including event equipment, collateral, branded merchandise • Maintain an up-to-date inventory register, tracking asset condition, location, and usage, particularly during and after events • Identify and flag items requiring repair, replacement, or disposal, and assist with the necessary administrative processes

Administrative &Operational Support

• Maintain the Communications Directorate’s filing systems, procurement records, and vendor documentation • Support communications-related procurement activities, including obtaining vendor quotations, processing purchase orders, and managing invoices • Provide general administrative and operational support to the Communications Directorate

Requirements

• Diploma/Degree in Communications, Journalism, Public Relations, Media Studies, or a related discipline preferred • Minimum 1–2 years of experience in communications, public relations, media,or a related field • Strong writing, editing, and proofreading skills in English • Experience with digital asset management, SharePoint, or Google Driveadministration is an advantage • Experience in procurement is an added advantage • Strong organisational skills with the ability to manage multiple tasks anddeadlines
