Site Clerk cum Public Relations Officer (HDB BTO)

  • Salary: Up to $2,600–$3,200 basic + Variable Bonus
  • Working Location: Near Mattar MRT Station
  • Working Days & Hours: Monday to Friday, 8:30am–5:30pm; Saturday, 8:30am–12:00pm

A construction company involved in HDB BTO projects, supporting site operations, project administration, and coordination with residents, consultants, authorities, and subcontractors.

Job Responsibilities

1. Document Control

  • Maintain and update all site records, including inspection forms, drawings, site submissions, and related documents.
  • Organise and file correspondence with authorities, consultants, clients, and subcontractors.

2. Administrative Support

  • Assist the project team in preparing minutes of meetings and tracking submission statuses.
  • Attend to incoming phone calls at the site office during office hours.
  • Perform general clerical and administrative duties as directed by the Superintending Officer’s Representative (SO Rep).

3. Material & Equipment Records

  • Maintain records of materials delivered, used, and stored on site.
  • Maintain logs for equipment, machinery, and tools.

4. Timekeeping & Attendance

  • Monitor daily attendance and overtime records for site workers.
  • Submit timesheets for payroll processing, where required.

5. Coordination with HQ

  • Act as the main liaison with Head Office (HQ) on site administrative matters.
  • Coordinate and follow up with HQ on relevant documentation and administrative requirements.

6. Community & Resident Liaison

  • Serve as the first point of contact for school and residents’ queries, complaints, and feedback.
  • Provide timely and courteous responses to concerns relating to noise, dust, safety, and work schedules.

7. Notice Issuance & Communication

  • Prepare and distribute resident notices, including work commencement and noisy work notifications.
  • Organise dialogue sessions, house visits, and feedback channels as required.

8. Customer Service & Complaint Handling

  • Attend to and resolve residents’ feedback and complaints.
  • Arrange site inspections where necessary.
  • Maintain a log of feedback and complaints and follow up with the project team on resolutions.
  • Draft and reply to residents’ feedback, queries, and correspondence.
  • Ensure all communications are properly documented and responded to within the required timeframe.

9. Public Image & Clean Site Representation

  • Assist in initiatives to foster good neighbourly relations throughout the construction phase.
  • Support efforts to maintain a professional, clean, safe, and presentable site environment.

Requirements

  • 2 years’ experience in administration within the construction industry.
  • Experience in construction administration and/or public relations.
  • Proficient in MS Office.
  • Must have prior construction industry administrative experience.
