Job Duties:

HR Operations

  • Serve as the primary contact for internal and external enquiries directed to the HR Operations team.
  • Act as a subject matter expert on assigned HR Operations processes and services.
  • Monitor and respond to requests received through HR shared mailboxes, case management systems, self-service portals, and other communication channels.
  • Ensure timely resolution of employee and stakeholder queries while adhering to established Service Level Agreements (SLAs).
  • Escalate issues, risks, delays, or service concerns appropriately and keep stakeholders updated on progress.
  • Collaborate with HR Centres of Excellence, HR Business Partners, PODHR teams, and other stakeholders to support service delivery.
  • Administer Electronic Signature Book assignments.
  • Administer Employment Pass renewals, including coordinating the required documentation, tracking renewal timelines, liaising with relevant stakeholders, and ensuring timely completion.
  • Perform data entry, document verification, and transaction processing while ensuring compliance with established procedures and controls.
  • Maintain HR Operations dashboards, reports, trackers, and service metrics.
  • Support leave coverage arrangements and department reporting requirements.
  • Support ad hoc HR Operations activities and projects as assigned.

Compliance & Governance

  • Administer government-paid leave claims and submissions.
  • Coordinate and respond to government surveys, statutory reporting requirements, and regulatory requests.
  • Manage employment verification and reference check requests for former employees, ensuring responses are accurate, timely, and in accordance with bank policies and data privacy requirements.
  • Ensure compliance with HR policies, procedures, governance requirements, and audit standards.
  • Support data quality reviews, documentation management, and operational risk mitigation activities.

Compensation & Benefits Administration

  • Administer employee referral payout processes.
  • Coordinate and manage Spot Award administration.
  • Administer the annual Long Service Award programme, including recipient verification, communications, award coordination, and event support.
  • Coordinate temporary accommodation arrangements, vendor engagement, and invoice processing.

Operational Excellence & Process Improvement

  • Support the review, documentation, analysis, and continuous improvement of HR processes across PODHR.
  • Develop and maintain end-to-end process maps, workflows, standard operating procedures, and process documentation.
  • Conduct process analysis to identify inefficiencies, operational risks, control gaps, and opportunities for service enhancement.
  • Facilitate stakeholder discussions and workshops to gather business requirements and document current and future-state processes.
  • Support User Acceptance Testing (UAT), implementation activities, and post-implementation reviews for process, policy, system, and service changes.
  • Assist in change management activities, including communication, documentation, training support, and stakeholder engagement.
  • Track and monitor Operational Excellence initiatives, action plans, and process improvement outcomes.
  • Support governance activities relating to process management, documentation standards, and operational controls.
  • Contribute to the department's process transformation, digitalisation, automation, and service excellence agenda.
  • Prepare management reports, dashboards, presentations, and analysis to support decision-making and operational reviews.

Period: 1 year contract

Location: Raffles Place

Working Hours: Monday to Friday, 9am to 6pm

Salary: Up to $4300

Job Requirements:

  • Minimum Degree in Human Resource Management, Business, Operations, or a related discipline.
  • Experience in HR Operations, HR Shared Services, Process Improvement, Business Analysis, or Operational Excellence is preferred.
  • Exposure to process mapping, workflow analysis, documentation, UAT, or project implementation activities will be advantageous.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word).
  • Experience with Workday or other HR systems is preferred.
  • Familiarity with process mapping, workflow documentation, reporting, and data analysis tools is an advantage.
  • Strong analytical and problem-solving skills.
  • Excellent communication and stakeholder management capabilities.
  • Strong attention to detail and commitment to quality and accuracy.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proactive mindset with a continuous improvement orientation.
  • Ability to identify opportunities to simplify, standardise, and improve processes.
  • Strong organisational and planning skills.
  • Ability to work independently while collaborating effectively within a team.
  • Professional handling of confidential and sensitive employee information.
  • Adaptable and comfortable working across both operational and project-based activities.
