Job Summary
Support corporate administration and HR operations by managing employee records, coordinating communications, drafting formal business documents, and organizing employee engagement activities to enhance corporate culture and operational efficiency.
Responsibilities
- Manage employee onboarding and offboarding processes to ensure smooth transitions and accurate records
- Maintain comprehensive employee records and support training coordination to facilitate workforce development
- Draft formal business documents and corporate correspondence in Chinese to support clear communication with Head Office and stakeholders
- Prepare management reports, presentation materials, briefing notes, and corporate documents with accuracy and appropriate business style
- Coordinate internal communications including staff announcements, newsletters, and event information to keep employees informed and engaged
- Provide secretariat support by organizing meetings, taking minutes, preparing documents, and following up on action items to ensure effective management communication
- Plan and execute employee engagement activities, team-building events, CSR initiatives, and staff welfare programs to foster a positive corporate culture
- Support HR administration tasks such as leave and benefits management, payroll coordination, and other HR-related processes to maintain operational efficiency
- Liaise with internal departments and Head Office to ensure timely follow-up and effective information flow on HR, administration, and corporate affairs
- Assist with ad-hoc projects and assignments from Management, contributing to HR, corporate administration, communications, and organizational initiatives
Preferred Competencies & Qualifications
- Bachelor’s degree in Business Administration, Human Resources, Communications, Corporate Communications, Marketing, or related discipline
- Minimum 2 years of relevant experience in corporate administration, HR, corporate communications, secretarial, or administrative support roles
- Proficient in Chinese business writing, capable of independently drafting formal documents such as official letters, submissions, reports, meeting minutes, and business correspondence
- Strong command of written and spoken English for effective communication and preparation of English-language business documents
- Basic knowledge of HR practices and processes, with payroll administration or coordination experience as an advantage
- Experience in banking, financial institutions, or corporate environments is beneficial
- Proficient in Microsoft Office applications, especially Word, PowerPoint, and Excel
- Detail-oriented with the ability to ensure accuracy, consistency, and appropriate tone in formal corporate documents
- Strong organizational, coordination, and stakeholder management skills to handle multiple assignments and deadlines effectively
- Meticulous, proactive, and discreet in handling confidential employee, management, and corporate information
