Job Description

About The Role

We are hiring an Event Operations Executive to help us scale the business.

Key Responsibilities

Digital Event Management

● Own the exhibitor pipeline end to end on the company's event management platform, from application and vendor accreditation through contracting, payment status and final booth allocation, and define the process rules the wider team works to.

● Design and administer the visitor registration and ticketing platform, covering the registration journey, QR ticketing, scanning configuration at each entry point and live capacity monitoring across the show.

● Govern the digital floor plan, exhibitor directory and event microsite as the single source of truth, and control the change process across the team, the venue and exhibitors through build-up.

● Evaluate and specify event technology for adoption, including digital wayfinding, visitor notification and cashless payment, and present the business case and cost-benefit analysis to the directors.

● Produce post-show performance reporting for exhibitors, sponsors and pavilion partners covering attendance, footfall distribution by zone and session and dwell patterns, and present findings at the post-event review.

Consumer Intelligence Analysis

● Establish and maintain the consolidated visitor and exhibitor data set across registration, on-site scanning, point-of-sale and the online store, and define the capture standard at each customer touchpoint.

● Analyse visitor profile, catchment and repeat attendance across successive markets, and formulate the audience segmentation that directs marketing and exhibitor sales activity.

● Evaluate exhibitor yield and retention by category across halal food and beverage, modest fashion, fragrance and oud, prayer essentials and homeware, and recommend the category mix for each forth coming edition.

● Model stall pricing against zone demand and take-uprates, and recommend the pricing structure and floor plan configuration to the directors ahead of each sales cycle.

Service Innovation

● Design the exhibitor and visitor feedback framework, determining what is measured at each stage of the show journey and how it is captured.

● Establish the service standards and escalation protocol for the show-day team, and chair the daily operations review.

● Develop, pilot and evaluate new visitor and exhibitor services at each edition, including prayer space wayfinding, family and nursing facilities, halal certification display standards and assisted cashless payment.

● Own service recovery for escalated exhibitor and visitor matters, and verify resolution against the agreed response standard.

● Manage country and partner pavilions and their overseas delegations, building on the format established with the Brunei Economic Development Board, and lead renewal discussions for subsequent editions.

Show Delivery and Exhibitor Administration

● Administer exhibitor compliance, securing halal certification, SFA licensing, insurance and set-up documentation ahead of each edition, and maintain the audit record.

● Act as the principal point of contact for exhibitors across the sales and build-up cycle, covering enquiry, onboarding and pre-show communications.

● Oversee exhibitor billing and receivables with accounts, and escalate aged balances ahead of stall confirmation.

● Lead the show-day operations crew and part-time service ambassadors, allocating duties, monitoring delivery against standard and conducting the close-of-day debrief.

● Manage the venue relationship with Suntec Singapore and Singapore Expo, negotiating hall access, build-up and tear-down windows, loading bay allocation and ancillary services.

● Conduct pre-opening floor inspections against the approved floor plan and venue licensing conditions, and authorise rectification with the venue and appointed contractors.

● Direct the stage and activity programme with artistes and production vendors, adjusting the running order against observed footfall.
