Job Title: Executive Assistant to Managing Director
Location: East Singapore
About the Role
We are seeking a highly organised and professional Executive Assistant to provide comprehensive administrative and secretarial support to the Managing Director. This is a key role that requires discretion, strong communication skills, and the ability to manage a busy executive office in a fast-paced environment. You will act as a trusted point of contact for internal and external stakeholders, ensuring the smooth operation of the MD's daily activities.
Key Responsibilities
- Manage the Managing Director’s complex calendar, scheduling meetings, appointments, and travel arrangements
- Screen and respond to emails, phone calls, and correspondence on behalf of the MD
- Prepare and coordinate meeting materials, presentations, and reports
- Take minutes during key meetings and follow up on action items
- Coordinate travel itineraries, including flights, accommodation, and visas
- Process expense claims, invoices, and other administrative tasks
- Liaise with internal teams and external partners, maintaining strong professional relationships
- Support the MD with project coordination and ad-hoc tasks as required
- Handle confidential and sensitive information with discretion
- Assist with organising internal events, town halls, and executive visits
Requirements
Essential
- Minimum 5 years of experience as an Executive Assistant or Personal Assistant to senior leadership
- Strong proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)
- Excellent written and verbal communication skills
- Exceptional organisational and time management abilities
- Ability to work independently and handle multiple priorities
- High level of discretion and professionalism
- Experience organising travel and itineraries for senior executives
