About the Role

We are seeking an experienced and highly capable Executive Assistant to the Principal to support a Principal who operates across two senior leadership roles.

This is a high-trust, project-management-oriented role rather than a traditional scheduling position. The successful candidate will take ownership of the Principal’s professional and personal operating rhythm, ensuring priorities are organised, commitments are followed through, and nothing falls through the cracks.

The role is based in Singapore and involves regular interaction with the Australian executive office, family members, household staff, and aviation management teams.

Key Responsibilities

Executive & Project Management

  • Own and manage the Principal’s calendar across two organisations and two time zones.
  • Establish and maintain a structured weekly operating cadence with the Principal.
  • Maintain a single, comprehensive action tracker covering all commitments and follow up proactively through to completion.
  • Project-manage tasks and initiatives end to end, ensuring agreed actions are executed within required timelines.
  • Anticipate upcoming priorities, requirements and potential issues before they are raised by the Principal.

Travel & Private Aviation

  • Manage international travel arrangements from end to end.
  • Coordinate private aviation requirements with the aircraft management company, including: crew, catering, ground transport and border formalities
  • Coordinate complex itineraries across Singapore, Australia and other international destinations.
  • Ensure all travel arrangements are properly briefed and prepared ahead of departure.

Meetings & Communication

  • Prepare comprehensive briefing packs for meetings, board meetings and business trips, ensuring materials are in the Principal’s hands at least 24 hours in advance.
  • Draft and manage correspondence on behalf of the Principal, maintaining his tone and voice.
  • Manage incoming requests and control access to the Principal’s time.
  • Ensure important information, decisions and follow-up actions are properly captured and tracked.

Family Office & Personal Support

  • Project-manage recurring family office administration, including: Signatures and approvals, Renewals, KYC refreshes, school-related matters, Medical-related appointments and touchpoints
  • Coordinate the family’s weekly logistics with household staff.
  • Support arrangements relating to school runs, activities, guests and family events.
  • Liaise with relevant household, aviation and external service providers as required.

Confidentiality & Discretion

  • Handle highly confidential personal, financial and family information with absolute discretion.
  • Exercise sound judgement when managing sensitive information, communications and access to the Principal.
  • Maintain strict confidentiality across all professional and personal matters.

Requirements

  • Substantial experience supporting a Founder, CEO, UHNW Principal or senior executive.
  • Proven experience taking ownership of processes, projects and tasks from initiation through to completion.
  • Strong project management capabilities, beyond conventional calendar and travel administration.
  • Excellent written and spoken English, with the ability to draft correspondence effectively on behalf of the Principal.
  • Strong organisational skills and exceptional attention to detail.
  • Comfortable working across Singapore and Australia time zones, including contracted out-of-hours availability.
  • Experience with private aviation and complex international travel logistics would be advantageous.
  • Strong stakeholder management skills and the confidence to liaise with senior executives, family members and external service providers. Other Information
