About the Company

Tian Tian Hainanese Chicken Rice is a well-known Singaporean food brand founded in 1986 at Maxwell Food Centre. From its humble beginnings as a hawker stall, the brand has grown into a multi-outlet F&B business with outlets across Singapore, including Jewel Changi Airport. As the company continues to grow, we are strengthening our corporate operations, systems and processes to support the business and its future expansion.

Role Overview

Reporting directly to the General Manager, you will provide support across business operations, administration, project coordination and selected Personal Assistant (PA)duties.

This is a broad-based, hands-on role that gives you the opportunity to work closely with the General Manager and gain practical exposure to different areas of a growing F&B business. You will be involved in day-to-day business operations, administration, project follow-up, problem-solving and coordination with different teams and external parties.

The role suits someone who is organized, responsible, practical and able to think logically. You should be comfortable following up on matters, identifying problems, understanding what went wrong, and working with the relevant people to resolve them.

You are not expected to know everything from day one. What is important is your willingness to learn, ask questions, take ownership and follow through on the work assigned to you.

Key Responsibilities

1. General Manager& PA Support

  • Manage the General Manager's calendar, meetings, appointments and outlet visits.
  • Arrange meetings and coordinate schedules with internal and external parties.
  • Take meeting notes, simple minutes, and follow up on agreed action items and projects.
  • Assist with preparation of documents, presentations, reports and other materials when required.
  • Handle selected confidential and administrative matters on behalf of the General Manager.

2. Business Operations Support

  • Assist the General Manager in monitoring the day-to-day operations of the Company's outlets and office.
  • Follow up on operational matters raised by outlets, staff, suppliers, vendors and other parties.
  • Identify problems, check the facts, understand what happened and work with the relevant people to find practical solutions.
  • Highlight unusual issues, mistakes, delays or areas that require management's attention.
  • Ensure assigned tasks and projects are properly followed up and completed within the agreed timeline.

3. Problem-Solving& Follow-Up

  • Investigate operational cases and understand the root cause of problems.
  • Gather information from the relevant staff or departments before making recommendations or escalating matters.
  • Coordinate with different stakeholders to resolve issues effectively.
  • Keep track of outstanding matters and ensure proper follow-up until they are resolved.
  • Provide clear updates to the General Manager on important matters, including the situation, actions taken and next steps.

4. Customer &Administrative Support

  • Monitor and respond to customer enquiries and feedback received through email, phone calls and online platforms.
  • Coordinate with outlet teams to investigate and resolve customer-related matters.
  • Monitor administrative emails and ensure important matters are properly followed up.
  • Assist with general administrative work, documentation and correspondence.

5. Reporting, Research& Business Support

  • Assist in preparing operational and business reports for management review.
  • Collect and organise information to support business analysis and decision-making.
  • Conduct research on relevant F&B, market, industry and regulatory matters when required.
  • Assist the General Manager in evaluating information and preparing recommendations for operational improvements.

6. Coordination &Stakeholder Management

  • Work closely with outlet teams, Central Kitchen, office staff, suppliers, vendors and other external parties.
  • Maintain good working relationships with different stakeholders.
  • Coordinate meetings, follow-ups and information between different parties to ensure matters move forward smoothly.
  • Represent the Company professionally when communicating with external parties.

7. Projects &Business Improvement

  • Assist the General Manager with new projects, business initiatives and operational improvements.
  • Support the development and implementation of SOPs, processes and systems.
  • Track project timelines, outstanding tasks and deliverables.
  • Assist in identifying opportunities to improve efficiency, service quality and business operations.

8. Other Duties

  • Perform other administrative, operational, coordination and PA-related duties as assigned by the General Manager or Management.
  • Be prepared to assist at other Tian Tian outlets when required.

Requirements

  • Diploma or Degree in Business, Hospitality, Operations, Engineering or any relevant discipline.
  • Candidates with relevant working experience are welcome to apply.
  • Good logical and analytical thinking, with the ability to understand a situation before deciding what to do.
  • Responsible and organised, with good attention to detail.
  • Able to follow up on tasks and see them through to completion.
  • Proactive and resourceful, with the ability to find practical solutions when faced with problems.
  • Good communication and interpersonal skills, with the ability to work with people from different backgrounds and levels.
  • Comfortable working in a fast-paced SME environment where processes are still being developed and improved.
  • Able to work independently while also being a good team player.
  • Positive attitude, willing to learn and not afraid to take on new responsibilities.
  • F&B experience is an advantage but is not essential.

  • Follows up instead of assuming that someone else will handle it.
  • Can communicate clearly with both management and frontline staff.
  • Takes responsibility for assigned work and sees it through.

Other Information

  • Work Location: 180 Paya Lebar Road, Singapore 409032, in the Paya Lebar / MacPherson / Tai Seng area.
  • You may occasionally be required to assist at other Tian Tian outlets depending on business and operational needs.
  • Working Hours: 5-day work week.
  • Salary: S$2,800 - S$3,500 per month (Salary will be commensurate with relevant experience, qualifications and suitability for the role.)
