Position Summary

The Facilities Executive supports facilities operations, maintenance administration, and claims recovery activities. The role is responsible for validating completed works, compiling claims, coordinating documentation, and supporting financial reconciliation to ensure timely cost recovery and accurate record management.

Key Responsibilities

• Compile and submit claims for maintenance, repair, and ad hoc works.

• Verify completed works using site records, work orders, invoices, and supporting documents.

• Coordinate with contractors, site teams, clients, and internal stakeholders to obtain and validate required documentation.

• Support recovery and reconciliation of outstanding POs, quotations, contract records, and completed works.

• Maintain accurate records of claims, maintenance activities, and supporting documentation.

• Track outstanding submissions and follow up to ensure timely closure and recovery.

• Resolve documentation discrepancies and support financial reconciliation activities.

• Prepare progress reports and updates on claims, recovery efforts, and backlog recovery status.

• Ensure compliance with company procedures and contractual requirements.

Requirements

• Degree in Facilities Management, Building Services, Mechanical Engineering, Electrical Engineering, Estate Management, or a related discipline. Fresh graduates are welcome to apply.

• Diploma in Facilities Management, Building Services, Mechanical Engineering, Electrical Engineering, Estate Management, or a related discipline with a minimum of 3 years of relevant experience.

• Experience in facilities management, maintenance administration, contract administration, claims processing, or project coordination will be advantageous.

• Proficient in Microsoft Office applications, particularly Excel.

• Strong attention to detail, analytical, organizational, and stakeholder management skills.

• Able to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment.
