About the Role

We are seeking a proactive and detail-oriented Facilities & Office Services Executive to oversee the smooth operation of workplace facilities and corporate services.

This role is responsible for managing office infrastructure, facilities maintenance, workplace safety and security, vendor performance, procurement activities, and day-to-day office operations to ensure a safe, efficient, and productive work environment. The successful candidate will work closely with internal stakeholders and external service providers to maintain high service standards, support compliance requirements, and drive continuous workplace improvements.

This opportunity is ideal for proactive facilities or office operations professionals who enjoy coordinating vendors, managing workplace services, solving operational challenges, and creating a positive and productive office environment.

Key Responsibilities

Facilities & Workplace Operations

  • Manage the day-to-day operations of workplace facilities and office services, ensuring a safe, efficient, and well-maintained working environment.

Security, Compliance & Risk Management

  • Oversee office security systems, including access control and CCTV, while supporting compliance with security and operational standards such as ISO 27001 requirements.

Workplace Safety & Emergency Preparedness

  • Coordinate workplace safety, health, and emergency preparedness initiatives, including supporting safety committee activities, inspections, and business continuity plans.

Vendor & Facilities Service Management

  • Manage and monitor service providers to ensure high standards and service level commitments are met across facilities maintenance, cleaning, building services, workplace amenities, and safety-related services.

Continuous Improvement & Sustainability

  • Support sustainability and continuous improvement initiatives aimed at enhancing workplace efficiency and reducing operational waste.

Asset & Inventory Management

  • Maintain inventory records and oversee the effective utilization of office equipment, devices, and company assets.

Procurement & Corporate Services

  • Source, evaluate, and coordinate the procurement of facilities, office, and corporate services, including equipment, utilities, maintenance services, travel arrangements, and other operational requirements.

Stakeholder & Vendor Relationship Management

  • Build strong relationships with vendors and stakeholders, ensuring quality service delivery and cost-effective operational support.

Office Administration & Operational Support

  • Provide administrative support for office operations, including facilities bookings, asset management, vendor invoice processing, payroll-related submissions, and workplace administration activities.

Requirements

  • Diploma in Facilities Management, Building Services, or a related field, with relevant experience in facilities, workplace, or office operations.
  • Knowledge of workplace safety, compliance, and facilities management best practices.
  • Strong coordination, problem-solving, and stakeholder management skills.
  • Self-motivated team player with a proactive mindset and strong sense of ownership.
  • Proficient in Microsoft Office and comfortable managing multiple priorities in a dynamic environment.
