Purpose and Scope

The Finance Executive is responsible for supporting the day-to-day Accounts Payable (AP) operations by ensuring supplier invoices are processed accurately, timely, and in compliance with company policies and regulatory requirements. The role also supports financial governance through proper documentation, GST compliance, audit readiness, and participation in finance-related digitalisation and ERP implementation initiatives. The incumbent will work closely with internal stakeholders and vendors to ensure smooth financial operations and process efficiency.

Roles & Responsibilities:

Accounts Payable Operations

  • Process supplier invoices accurately and within stipulated timelines.
  • Perform 2-way and 3-way matching against approved Purchase Orders (PO), Goods Received Notes (GRN), contracts, and other supporting documents.
  • Verify the completeness and accuracy of invoice documentation prior to processing.
  • Liaise with internal stakeholders, vendors, and procurement teams to resolve invoice discrepancies, payment issues, and outstanding items.
  • Support payment processing activities and ensure compliance with internal approval workflows.

Compliance & Reporting

  • Apply the correct GST treatment and accounting codes in accordance with prevailing tax regulations and company policies.
  • Assess and determine whether GST incurred is claimable or non-claimable based on supporting documentation and regulatory requirements.
  • Maintain accurate records, filing systems, and supporting documents to ensure audit readiness and compliance.
  • Ensure financial transactions are processed in accordance with corporate governance, internal controls, and statutory requirements.
  • Assist in finance-related reporting and month-end closing activities when required.

ERP Implementation & Process Improvement

  • Support ERP system implementation, enhancement, and digitalisation initiatives.
  • Participate in system testing, data verification, User Acceptance Testing (UAT), and process validation activities.
  • Assist in data migration exercises and ensure data accuracy during implementation phases.
  • Identify opportunities to improve AP processes, strengthen controls, and enhance operational efficiency through automation and digital solutions.

Stakeholder Management

  • Collaborate effectively with Procurement, Operations, Project Teams, and external vendors to ensure smooth AP operations.
  • Provide timely support and guidance to internal users on invoice-related queries and AP processes.

Requirements:

  • Diploma in Accounting, Finance, Business Administration, or a related discipline.
  • Minimum 2 years of relevant experience in Accounts Payable, Finance Operations, or Accounting functions.
  • Experience in handling high-volume invoice processing and AP activities will be an advantage.
  • Familiarity with ERP systems (e.g., SAP, Oracle, Microsoft Dynamics, or similar platforms) is preferred.
  • Exposure to ERP implementation, system migration, or digitalisation projects will be advantageous.
  • Knowledge of Singapore GST regulations and accounting principles.
  • Good understanding of Accounts Payable processes, accounting principles, and internal controls.
  • Strong knowledge of Singapore GST regulations and tax compliance requirements.
  • Detail-oriented with a high level of accuracy in data entry and financial processing.
  • Strong analytical and problem-solving skills with the ability to investigate and resolve discrepancies independently.
  • Good interpersonal and communication skills to effectively engage internal and external stakeholders.
  • Proficient in Microsoft Office applications, particularly Excel.
  • Experience using ERP and financial management systems.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proactive, responsible, and committed to continuous process improvement.
  • Team player with a positive attitude and strong customer service orientation.
