The posting

My client is a newly established FMCG health supplement company seeking a proactive and resourceful individual to support their startup growing business alongside with a HQ in overseas.

This is a hands-on role ideal for someone who enjoys working in a startup environment, takes ownership, and is comfortable managing a wide range of responsibilities across administration, HR, operations, sales support, and business coordination.

Key Responsibilities

Office Administration & Operations

  • Manage daily office operations and administrative activities
  • Maintain company records, documentation, and filing systems
  • Coordinate office supplies, vendors, and service providers
  • Support process improvements and operational efficiency initiatives

HR & People Support

  • Assist with recruitment, onboarding, and employee documentation
  • Maintain employee records and HR administration
  • Support leave tracking, payroll coordination, and HR reporting
  • Assist with employee engagement and training activities

Sales & Business Support

  • Process sales orders, quotations, invoices, and related documentation
  • Coordinate order fulfilment with warehouse and logistics partners
  • Prepare reports, presentations, and management documentation

Finance & Vendor Coordination

  • Support invoice processing, expense claims, and payment requests
  • Coordinate with suppliers and HQ Finance on administrative matters
  • Maintain accurate records and support monthly reporting

Startup & Cross-Functional Support

  • Work closely with local and HQ management on business initiatives and special projects
  • Support different functions across operations, HR, sales, and administration as business needs evolve
  • Take on additional responsibilities in a dynamic and growing startup environment

Requirements

  • Diploma or Degree in Business Administration, Human Resources, or related discipline
  • 3-5 years of experience in administration, HR, operations, or business support roles
  • Experience in FMCG, trading, distribution, healthcare, or SME/startup environments is an advantage
  • Proficient in Microsoft Office applications and AI productivity tools
  • Strong organizational, communication, and multitasking skills
  • Independent, proactive, adaptable, and willing to learn
  • Comfortable working in a fast-paced startup environment with evolving responsibilities
