TheKidSTART Executive supports the effective delivery of KidSTART and Community Services and Programmes (CSP) operations through programme administration, data management and reporting, operational process improvement, data governance, volunteer and resource coordination, and logistical support. The role helps to ensure that programme information is accurate and accessible, meetings and follow-up actions are well coordinated, operational processes are consistently applied, and resources are available to support staff and service delivery.
As a KidSTART Executive, you will be expected to:
Regional Team and Meeting Coordination
- Coordinate meeting logistics, including scheduling, invitations, venues and virtual meeting arrangements.
- Compile and circulate agendas, presentation materials and supporting documents before meetings.
- Prepare accurate minutes capturing key discussions, decisions and action items; track and follow up on agreed actions.
- Facilitate review and approval of meeting minutes before dissemination and maintain an organised repository of meeting records.
- Support accurate and timely reporting to KidSTART Singapore Limited (KSL) and relevant stakeholders.
Data Management, Reporting and Evaluation
- Maintain and update programme databases, trackers, master lists and records with accurate and complete information.
- Coordinate the collection, collation, verification and consolidation of programme data from relevant stakeholders.
- Conduct data-quality checks and organise data repositories to support accuracy, consistency, completeness and ease of retrieval.
- Prepare internal and external reports and support the compilation and analysis of outcome data for programme monitoring, evaluation, practice standards and KPI tracking.
Operational Improvement and Workplace Productivity
- Identify recurring operational needs in consultation with senior staff and relevant stakeholders.
- Develop, refine, implement and maintain standardised templates, tools and processes for programme operations and service delivery.
- Gather and analyse user feedback, and promote practical and innovative solutions, including appropriate AI-enabled solutions, to improve efficiency and adoption.
Data Governance and Compliance
- Maintain data-protection documentation, consent records, audit requirements and incident-reporting records in accordance with organisational policies and timelines.
- Facilitate staff briefings, reminders or communications on data-protection responsibilities and good data-management practices.
- Ensure records are accurately maintained in line with approved documentation and reporting standards.
Volunteer, Donor and Resource Coordination
Coordinate volunteer recruitment, onboarding, deployment and record management according to programme and operational needs. Support the mobilisation and coordination of donations, community partnerships and operational resources. Maintain accurate volunteer, donor and resource records, and support engagement and appreciation initiatives through regular communication and coordination.
Programme Administration and Logistical Support
- Maintain and monitor KidSTART curriculum resources, programme materials and inventory.
- Coordinate logistics, materials and resource preparation for family engagements, programme activities and events.
- Liaise with funder on KidSTART events, publicity and outreach communications, and represent CSP at community engagement events when required.
- Track staff training completion, certifications and related compliance requirements.
- Provide administrative and coordination support for emerging CSP and organisational priorities.

Requirements:
- Diploma in Business Administration, Social Services, Programme Management, Data Management or a related discipline.
- Equivalent combinations of relevant qualifications and experience may be considered. Relevant experience in programme administration, operations, data management, reporting or project coordination.
- Proficiency in Microsoft 365 applications, particularly Excel, Word, PowerPoint, Outlook, Teams and SharePoint.
- Ability to manage spreadsheets, trackers, databases, records and document repositories accurately.
- Good planning and organisational skills, with the ability to coordinate multiple priorities and follow through on action items.
- Strong attention to detail, written communication and stakeholder-coordination skills.
- Familiarity with data protection, records management, compliance processes, volunteer coordination or resource management is advantageous.
- Experience in the social service, early childhood, family service or community sector is advantageous.
- Resourceful, collaborative and responsive, with a continuous-improvement mindset and openness to using digital and AI-enabled tools appropriately.
