The posting

Job Purpose

The Event Executive, Lifestyle is responsible for the hands-on delivery of the department’s events, entertainment programming and Social Sections, together with the general administration that keeps the portfolio running. Working under the direction of the Manager, the Executive supports the Assistant Manager, toplan and executes member events end-to-end, serves as the day-to-day contact for section committees and vendors, and ensures accurate registration, communications and event-related administration.

Job Responsibilities

1. Administration

  • Assist in the overall general administration of the Lifestyle department.
  • Manage the administration and activities of multiple Social Sections, including Dance Sport, Line Dance,Bridge, Balut and Toastmasters, serving as the key liaison between section committees and Club management.
  • Oversee shared member facilities,including the Kids Playroom and Cards & Mahjong Room, managing related bookings, enquiries, rules, maintenance requirements and operational matters.

2. Event Management

  • Plan, coordinate and execute member events and programmes from conceptualisation and budgeting through registration, logistics, on-site operations, billing and post-event follow-up.
  • Source, engage and liaise with external vendors, instructors, speakers, entertainment providers and other partners, including obtaining quotations, confirming requirements and coordinating service delivery.
  • Coordinate section events,classes, competitions, trips and other activities, including venue arrangements, registrations, billing, communications and operational requirements.
  • Manage participant registration and communications, including invitations, confirmations, reminders, event updates, attendance records and special requirements.
  • Handle event-related financial administration, including preparing budgets, verifying charges, coordinating member billing, processing vendor invoices and supporting reconciliation with Finance.
  • Coordinate entertainment programming on the ground, including monthly Jam sessions and the home band.

3. Special Project Support

  • Support special projects and signature events as assigned by the Manager, such as festive dinners (Chinese New Year Dinner, New Year’s Eve Dinner).

4. Compliance & General Duties

  • Adhere to high ethical standards and comply with all applicable regulations and laws.
  • Follow the workplace safety and health system, safe work procedures and safety rules implemented at the workplace.
  • Do not engage in any unsafe or negligent act that may endanger yourself or others working around you.
  • Use personal protective equipment provided to ensure your safety while working; do not tamper with or misuse the equipment.
  • Undertake any other duties or projects as assigned by the Supervisor /or Management.

Requirements

  • Diploma in Events Management or equivalent with 3–5 years of relevant working experience
  • Ability to plan and execute initiatives
  • Able to communicate effectively
  • Meticulous team player with excellent time management and accuracy
  • Possess effective organisational and follow-up skills, with attention to detail
  • Good interpersonal skills, able to interact with all levels internally and externally in a professional and responsive manner
  • Microsoft Word, Excel, Outlook,PowerPoint
