Role Purpose The Maintenance Executive is responsible for the execution and coordination of day-today maintenance activities within the dormitory. The role focuses on hands-on maintenance execution, first-line technical troubleshooting, coordination with approved contractors, and accurate documentation of works carried out.
Key Responsibilities 1) Preventive Maintenance Execution
Work with the Dormitory Managers and develop the preventive maintenance schedule.
Carry out preventive maintenance works in accordance with approved maintenance schedules, checklists, and instructions issued by management. This includes routine inspection and servicing of building services, fixtures, fittings, and equipment to ensure continuous operational readiness.
Record all preventive maintenance activities accurately, including date of inspection, scope of work performed, observations noted, and any follow-up actions required. Identify early signs of wear, defects, or deterioration and report findings promptly to the Dormitory Manager and General Manager Operations.
Ensure outsourced contractors submit service reports after each maintenance activity.
Recommend corrective actions, including the replacement of items, equipment, and machinery that are no longer safe or compliant to uphold safety and regulatory standards.
2) Corrective & Reactive Maintenance
Respond to maintenance requests and reported defects in a timely and professional manner. Perform first-line troubleshooting and rectification for minor and medium repair works within assigned competency.
Where defects exceed assigned authority or technical capability, escalate promptly to the General Manager through the Dormitory Manager and coordinate site access for approved contractors. Ensure that temporary safety measures are implemented where necessary to prevent risk escalation.
3) Contractor Coordination & Site Support
Provide on-site coordination and support for approved contractors carrying out maintenance works. This includes facilitating site access in consultation with the Dormitory Manager, explaining work locations, and ensuring safe work practices are observed during execution.
Monitor work progress against instructions provided and report quality, safety, or compliance concerns to the Dormitory Manager and General Manager. Collect contractor service reports, completion notes, and delivery documentation for submission and record-keeping.
4) Maintenance Tools, Spares & Inventory Control (Execution Level)
Maintain accurate records of maintenance tools, spare parts, and consumables issued for maintenance works. Record receipt, issuance, and usage in accordance with the Group Inventory Control Framework.
Conduct routine checks to ensure tools and equipment are serviceable and safely stored. Report shortages, damages, losses, or abnormal usage patterns to the General Manager for further action.
5) Safety, Compliance & Risk Support
Carry out all maintenance work in compliance with workplace safety requirements and applicable regulatory standards. Identify and report hazards, unsafe conditions, or non-compliances immediately.
Support site fire safety and emergency readiness by ensuring fire protection systems, access routes, and emergency equipment remain functional and unobstructed.
6) Resident Maintenance Support
Attend to resident maintenance issues courteously and professionally. Communicate clearly with residents through the respective Dormitory Managers on the nature of works, expected completion timelines, and any temporary inconveniences.
Take reasonable steps to minimise disruption to residents during maintenance activities.
7) Documentation, Records & Audit Readiness
Maintain complete and accurate records of maintenance requests, inspections conducted, works completed, and inventory usage. Ensure records are properly filed, traceable, and available for audit or inspection.
Submit maintenance logs and supporting documentation to the General Manager in accordance with reporting requirements.
8) Support to Knowledge Transfer (Non-Supervisory)
Provide hands-on guidance and demonstrations to General Workers on basic maintenance tasks where required. Reinforce safe work practices during routine activities.
Escalate tasks beyond basic competency or authority to management or approved contractors.
Operational Response Support Targets
a) Minor maintenance issues - response support within 8 hours.
b) Medium maintenance issues - coordination and update within 12 hours.
c) Major maintenance issues - immediate escalation and site support.
d) Emergency maintenance issues - immediate response to secure safety and prevent escalation.
Qualifications & Experience
Diploma in Facilities Management, Engineering, Building Services, or a related field.
Minimum three (3) years of hands-on maintenance experience, preferably in residential, dormitory, or facilities management environments.
Good working knowledge of basic building services, electrical, plumbing, and safety practices.
