Operation Executive – Assistant Manager

Employment Type: Full-time Working Location: Singapore Working Hours: 6 days per week

Job Description

We are looking for a responsible and experienced Operation Executive – Assistant Manager to support the management and execution of the company’s cleaning operations across multiple commercial and facilities management projects.

The role will be responsible for coordinating operational planning, manpower and resource allocation, client account management, service quality, operational performance and continuous improvement. The successful candidate will work closely with management, site supervisors, cleaning teams and clients to ensure efficient and consistent delivery of contracted services.

Key Responsibilities

  • Assist management in planning, coordinating and overseeing the company’s day-to-day cleaning operations across multiple client sites.
  • Develop and coordinate manpower deployment plans, work schedules and operational resources according to project requirements.
  • Manage manpower allocation and utilisation to ensure adequate staffing levels and operational continuity across assigned sites.
  • Coordinate with supervisors and site teams to monitor operational performance, productivity and service delivery.
  • Monitor service standards and Key Performance Indicators (KPIs), identify operational gaps and implement appropriate corrective actions.
  • Conduct operational reviews and site visits to assess service quality, manpower utilisation and compliance with contractual requirements.
  • Manage day-to-day communication with clients and site representatives, including service requests, operational feedback and follow-up actions.
  • Support the implementation and management of new cleaning contracts, including manpower planning, deployment arrangements, work schedules and operational procedures.
  • Review operational requirements and recommend improvements to workflows, manpower utilisation, equipment deployment and cleaning processes.
  • Assist in preparing operational reports, manpower reports, service records, performance updates and management reports.
  • Coordinate the recruitment, onboarding, training and deployment of cleaning personnel in accordance with operational requirements.
  • Work with supervisors to monitor employee performance, attendance, discipline and training requirements.
  • Oversee the availability, allocation and utilisation of cleaning equipment, machinery, materials and consumables, and coordinate procurement where required.
  • Monitor operational costs and resource utilisation and identify opportunities to improve productivity and cost efficiency.
  • Ensure that operations comply with relevant Singapore employment, workplace safety, cleaning industry and regulatory requirements, including applicable PWM requirements.
  • Assist management in handling operational incidents, client escalations and manpower-related issues, and coordinate timely resolution.
  • Support the development and implementation of Standard Operating Procedures (SOPs), operational policies and service quality improvement initiatives.
  • Evaluate operational challenges and provide recommendations to management on manpower, service delivery and resource planning.
  • Support business expansion by assisting management with operational planning for new clients, new sites and additional service requirements.
  • Perform other operational and management duties as assigned by the Director.

Requirements

  • Minimum 1–3 years of relevant experience in cleaning operations, facilities management, hospitality operations or a related operational management role.
  • Previous experience in manpower planning, multi-site operations or facilities/cleaning services management will be an advantage.
  • Demonstrated ability to coordinate teams and manage day-to-day operational activities independently.
  • Good leadership, communication, interpersonal and client management skills.
  • Strong organisational, analytical and problem-solving abilities.
  • Able to manage multiple sites, operational priorities and manpower requirements simultaneously.
  • Good working knowledge of Microsoft Office and basic operational reporting/documentation.
  • Knowledge of workplace safety, cleaning operations and relevant Singapore regulatory requirements will be an advantage.
  • Able to work flexible hours, weekends or public holidays when required by operational needs.
  • Relevant industry qualifications, supervisory/management training or cleaning-related certifications will be an advantage.
