Job Summary

The Assistant Operations Manager supports the Operations Manager in ensuring the cafe operates smoothly, delivers consistent service and quality, and achieves sales, cost, and customer satisfaction targets. This role oversees daily operations including staff scheduling, shift handovers, cash/stock control, hygiene and compliance, and escalation of operational issues.

The ideal candidate is hands-on, service-oriented, and able to lead a team in a fast-paced environment while maintaining high standards of food safety and guest experience.

Key Responsibilities

1) Daily Operations & Service Excellence

  • Support day-to-day cafe operations to ensure smooth service flow.
  • Monitor service standards during peak hours and address gaps immediately.
  • Ensure product quality consistency (taste, presentation, portioning, temperature).
  • Maintain cleanliness and operational readiness across front-of-house and back-of-house.

2) Team Leadership & Staff Management

  • Assist with staff scheduling, rosters, and shift coverage planning.
  • Coach and guide staff on service, operational procedures, and brand standards.
  • Conduct shift briefings and ensure proper handover between shifts.
  • Support training for new hires and ongoing refreshers for current staff.
  • Handle day-to-day team issues professionally and escalate when needed.

3) Inventory, Cost Control & Stock Monitoring

  • Assist with inventory checks, stock counts, and ordering support.
  • Monitor food/beverage stock usage and help reduce wastage.
  • Ensure correct receiving, storage, labeling, and FIFO/FEFO practices.
  • Support scheduling for deliveries and track shortages/escalations.

4) Cash Handling & Compliance

  • Support cash management processes and daily end-of-day procedures.
  • Ensure compliance with internal policies and legal requirements.
  • Maintain accurate records for temperature logs, cleaning checklists, and compliance documentation.

5) Food Safety, Hygiene & Risk Management

  • Ensure compliance with food safety and hygiene standards at all times.
  • Support incident reporting (e.g., spills, equipment issues, customer complaints).
  • Coordinate corrective actions and verify follow-up completion.

6) Customer Experience & Issue Resolution

  • Handle customer feedback and complaints courteously and efficiently.
  • Ensure service recovery is delivered in line with cafe policy.
  • Escalate serious issues to the Operations Manager and document outcomes.

7) Continuous Improvement

  • Identify operational bottlenecks and propose improvements.
  • Support implementation of new SOPs, promotions, or process changes.
  • Participate in performance reviews and contribute to team improvement plans.

Key Performance Indicators (KPIs)

  • Customer satisfaction / review ratings and complaint resolution rate
  • Food & beverage quality consistency
  • Labor efficiency (scheduling and productivity)
  • Food cost control (wastage and inventory accuracy)
  • Hygiene & compliance audit results
  • Shift execution quality (handover, checklists, readiness)

Qualifications & Requirements

  • Minimum [3] years of experience in F&B operations (cafe/restaurant preferred).
  • Basic understanding of food safety, hygiene practices, and stock control.
  • Experience leading a team or supporting shift management.
  • Strong communication skills and ability to remain calm under pressure.
  • Ability to work flexible hours, including weekends and holidays.
  • Proficiency with basic systems such as POS tools and inventory/spreadsheet tools ([e.g., Excel / Google Sheets]).

  • Prior experience with SOPs, training, and compliance documentation
  • Strong problem-solving and decision-making in real time
  • Customer-first mindset and leadership by example
  • Familiarity with cafe concepts (espresso/coffee workflow, if applicable)
