The posting

Responsibilities and Duties:

- Work closely with Operation Manager and Service sales team to arrange service schedules and submit documents

- Develop, maintain, and monitor detailed service schedules for the entire year / input schedule to master schedule list

- Resource Coordination and Portfolio Planning

- Define resource requirements in collaboration with ops teams

- Answering and directing phone calls, as well as responding to email inquiries

- Coordinate and balance resources across multiple schedules to avoid conflicts and bottlenecks.

- Submit Permit to work / ensuring clear documentation and action tracking.

- Manage and update all submission documents and liaise with subcontractors and suppliers.ie update name list for SIC (Ep team and vendors)

- Support, communicate, and coordinate with all customers

- Assist in other ad-hoc duties when required.

- Provide administrative support to sales and operations teams to ensure smooth daily functions / including DO

- Support daily administrative and coordination tasks

- Maintain and update customer databases, reports, and filing systems

Requirements and Skills:

- Minimum GCE O/N Level, ITE, or Diploma in Business Admin, or a related field

- A minimum of 2 years of experience in an administrative or clerical role, preferably in a professional office environment

- Ability to work independently and target oriented in a stressful environment and able to contribute as part of a team.

- Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines

- Strong written and verbal communication skills, with the ability to interact effectively with people at all levels

- Good interpersonal skills and able to interact effectively with all levels, internally and externally, in a professional and responsive manner.

- Proficiency in using Microsoft Office suite (Word, Excel, PowerPoint) and other office software

- A keen eye for detail and the ability to work accurately and efficiently

- A positive and proactive attitude, with a willingness to assist and support the team
