Operations Coordinator

Location: Singapore Employment Type: Full-Time

About the Role

Our client is a well-established company within the marine industry, providing products and services to shipowners, ship managers, shipyards and offshore clients.

They are looking for an Operations Coordinator to support the day-to-day coordination of marine operations, service activities, customer requirements and internal stakeholders. The successful candidate will play an important role in ensuring that operational activities are properly planned, coordinated and completed within the required timelines.

Key Responsibilities

  • Coordinate day-to-day operational activities for marine service, maintenance, repair or equipment-related projects.
  • Liaise with shipowners, ship managers, vessels, shipyards, suppliers, service engineers and internal departments.
  • Coordinate service engineers and technicians for onboard attendance, inspections, repairs and commissioning activities.
  • Arrange vessel attendance, site visits, travel, accommodation, access permits and other logistical requirements.
  • Monitor vessel schedules and coordinate work around vessel arrival, departure and operational requirements.
  • Prepare and manage service orders, work orders, quotations, purchase orders and other operational documentation.
  • Follow up on service progress, outstanding work, spare parts, equipment and customer requirements.
  • Coordinate the delivery and movement of marine equipment, spare parts and tools to vessels or project locations.
  • Maintain accurate records of service activities, job status, documentation and customer correspondence.
  • Communicate operational updates to customers and provide timely follow-up on outstanding matters.
  • Work closely with the sales, service, technical, warehouse and finance teams to ensure smooth execution of projects.
  • Monitor job completion, service reports and documentation before closing operational jobs.
  • Assist in preparing operational reports, schedules and management updates.
  • Handle urgent operational requests and coordinate solutions with the relevant internal and external stakeholders.
  • Ensure all activities are carried out in accordance with company procedures, customer requirements and applicable marine safety standards.
