Role Overview
We are seeking an Operations Executive to coordinate the supply and delivery of marine chemicals to vessels. The successful candidate will manage customer enquiries, prepare quotations, source products and coordinate deliveries with vessels, ship agents, suppliers and logistics providers.
This position is well suited to someone with experience in a ship chandling, marine supply or vessel-support environment who understands the urgency and operational requirements of serving vessels in port.
Key Responsibilities
- Manage customer enquiries and orders for marine chemicals and related products.
- Prepare quotations based on product specifications, availability, pricing and delivery requirements.
- Source marine chemicals from approved suppliers and negotiate pricing and delivery terms.
- Coordinate deliveries with vessels, ship agents, port authorities, suppliers and transport providers.
- Monitor vessel schedules, port calls and delivery timelines to ensure orders are fulfilled promptly.
- Prepare purchase orders, delivery orders, invoices and supporting documentation.
- Ensure the correct products, quantities and documentation are provided for each delivery.
- Coordinate the safe handling, storage and transportation of marine chemicals.
- Maintain accurate records of orders, deliveries, costs and inventory levels.
- Monitor stock availability and support inventory-replenishment planning.
- Respond promptly to urgent vessel requirements and operational changes.
- Resolve delivery delays, product discrepancies and customer complaints.
- Maintain effective working relationships with customers, suppliers and service providers.
- Ensure operations comply with safety procedures and applicable regulations for chemical products.
- Support the commercial team with pricing, customer follow-ups and order development.
Requirements
- Diploma or degree in Maritime Studies, Logistics, Supply Chain, Business or a related discipline.
- 2 to 4 years of experience in ship chandling, marine supply, vessel operations or logistics.
- Candidates from ship chandlers are strongly preferred.
- Experience handling marine chemicals, cleaning products, lubricants or technical vessel supplies would be advantageous.
- Familiarity with vessel schedules, port operations and shipboard delivery coordination.
- Basic understanding of chemical safety documentation, including Safety Data Sheets, would be beneficial.
- Strong coordination, customer-service and problem-solving skills.
- Able to manage multiple orders and respond to urgent requirements.
- Detail-oriented and accurate in preparing quotations and operational documents.
- Proficient in Microsoft Office and relevant ERP or inventory systems.
- Strong written and verbal communication skills in English.
