The Emergency Department is often the first point of contact for patients and families seeking urgent medical care. As a Patient Service Associate Executive, you play a critical role in shaping their experience during what can be a stressful and uncertain time.

This role combines frontline patient administration, service excellence, clinical support and operational leadership responsibilities. Beyond managing patient registration, admissions and billing processes, you will provide guidance to frontline staff, support service recovery efforts, and help drive smooth operations in a fast-paced healthcare environment.

You will work closely with clinicians, nurses and operational teams to ensure patients receive timely, accurate and compassionate service while maintaining operational efficiency and regulatory compliance.

Key Responsibilities

Deliver Exceptional Patient Experience

  • Serve as the frontline ambassador of the Emergency Department, providing professional and empathetic service to patients, visitors and caregivers.
  • Guide patients through registration, admissions, transfers and discharge processes.
  • Provide clear information on departmental processes, waiting times and hospital services.
  • Handle patient and caregiver concerns professionally and perform service recovery where required.
  • Promote a patient-centred culture that reflects the hospital's values and service standards.

Manage Patient Administration

  • Register and verify patient information accurately for all Emergency Department attendances.
  • Create, maintain and update patient records within hospital information systems.
  • Process admissions, transfers and discharges accurately and efficiently.
  • Ensure proper handling of patient information in compliance with confidentiality and data protection requirements.
  • Maintain high standards of documentation accuracy and operational compliance.

Oversee Billing and Financial Administration

  • Collect Emergency Department charges, deposits and other applicable fees in accordance with hospital policies.
  • Explain billing matters, subsidies and payment options to patients and next-of-kin.
  • Issue receipts and maintain accurate financial documentation.
  • Perform ward class and subsidy status updates accurately based on insurance coverage and eligibility requirements.
  • Ensure compliance with billing regulations and financial control procedures.

Support Clinical Operations

  • Conduct patient screening using approved questionnaires and workflows.
  • Facilitate the routing of infectious and non-infectious patients according to infection prevention protocols.
  • Assist patients requiring mobility support, including wheelchair assistance.
  • Support patients with registration and declaration processes through self-service kiosks.
  • Measure and document patient vital signs in the electronic medical record system.
  • Provide basic patient education and preparation guidance for simple procedures and investigations.
  • Support fall prevention initiatives through risk identification and timely intervention.
  • Assist with infection prevention and control initiatives, including staff education and compliance monitoring.
  • Support clinical and nursing teams with operational and patient care-related activities where required.

Lead Frontline Operations

  • Lead and supervise a team of Patient Service Associates to ensure efficient daily operations.
  • Coordinate manpower deployment and roster planning to maintain adequate service coverage.
  • Provide coaching, mentorship and on-the-job training to frontline staff.
  • Monitor team performance and support capability development.
  • Manage complex patient situations and escalated service issues with professionalism and empathy.
  • Identify operational challenges and collaborate with stakeholders to improve workflows and service delivery.
  • Support communication between frontline staff, nursing teams, medical teams and operations personnel to ensure seamless patient care coordination.

Drive Operational Excellence

  • Ensure readiness of service counters, equipment, forms and operational resources.
  • Support business continuity, downtime and contingency procedures.
  • Monitor service quality and operational performance indicators.
  • Participate in departmental projects focused on patient experience, workflow optimisation and operational efficiency.
  • Support audit activities and quality improvement initiatives.
  • Demonstrate readiness for mass casualty operations and participate in disaster preparedness exercises.

What You Bring:

Qualifications and Experience

  • GCE 'N' Level, GCE 'O' Level, NITEC, Higher NITEC, Professional Certificate or Diploma qualification.
  • Relevant healthcare, customer service or administrative experience will be an advantage.
  • Prior supervisory or team leadership experience is preferred.
  • Comfortable using technology and healthcare information systems.
  • Able to work rotating shifts, weekends and public holidays.
