Personal Assistant to the CEO – Executive & Family Support
Role Overview
The personal assistant to the CEO will provide highly trusted, hands-on support across the CEO’s professional, personal, and family matters. The role requires a high degree of discretion, flexibility, organization, and personal responsibility.
A significant part of the position involves supporting the CEO’s family, who are based in Australia. The successful candidate must therefore be comfortable with frequent travel to Australia and providing practical, day-to-day assistance to ensure that the CEO’s family arrangements are well coordinated.
Key Responsibilities
1. Family & Personal Support
- Provide day-to-day assistance to the CEO and family members, particularly when the CEO is travelling or based outside Australia.
- Assist with the children’s daily schedules, including sending and picking them up from school, enrichment classes, tuition, sports, appointments, and other activities when required.
- Coordinate school calendars, extracurricular activities, enrichment programs, appointments, and family commitments.
- Liaise with schools, enrichment centers, tutors, coaches, household staff, service providers, and other relevant parties as required.
- Assist with family travel, holidays, accommodation, transportation, bookings, and itinerary planning.
- Support family members with errands, purchases, appointments, reservations, and other day-to-day requirements.
- Assist in coordinating household and residential matters in Australia, including liaising with contractors, vendors, property managers, and service providers.
- Maintain appropriate records and schedules relating to important family commitments and arrangements.
- Travel frequently to Australia and, where necessary, accompany the CEO or family members on domestic and international trips.
- Be available to respond to urgent family or personal matters outside normal working hours when reasonably required.
2. CEO Personal & Executive Support
- Manage the CEO’s professional and personal calendar, appointments, meetings, travel, and commitments.
- Coordinate complex domestic and international travel arrangements, including flights, accommodation, ground transportation, visas, and detailed itineraries.
- Act as a trusted point of coordination between the CEO, family members, internal teams, business associates, and external service providers.
- Monitor important matters requiring the CEO’s attention and proactively follow up to ensure timely completion.
- Handle personal errands and administrative matters on behalf of the CEO.
- Assist the CEO with special projects and other matters as assigned.
3. Board & Meeting Preparation
- Assist the CEO in preparing for board meetings, management meetings, investment meetings, and other important engagements.
- Coordinate and organize board papers, meeting materials, presentations, briefing notes, and supporting documents.
- Review the CEO’s upcoming meetings and ensure relevant information and materials are prepared in advance.
- Maintain a clear record of key follow-up items and coordinate with relevant parties to complete actions.
4. Confidentiality & Trusted Coordination
- Handle highly confidential business, personal, and family information with strict discretion.
- Maintain organized and secure records relating to the CEO and family.
- Exercise sound judgment when representing the CEO or communicating with family members and external parties.
- Maintain appropriate professional boundaries and protect the privacy and interests of the CEO and family at all times. Key AttributesThe successful candidate should be trustworthy, dependable, organized, considerate, discreet, proactive, and service-oriented. The individual should be comfortable operating in a dynamic environment where priorities can change quickly and should have the maturity to distinguish between matters requiring immediate attention and those that can be handled independently. Above all, this is a position of trust. The PA will be expected to provide consistent and reliable support to both the CEO and family while maintaining the highest standards of confidentiality, professionalism, and personal responsibility.
