Job Summary
The Personal Assistant will provide comprehensive personal and administrative support to the Principal within a private household environment, including travel, personal image preparation, household matters, procurement, documentation, and day-to-day arrangements.
Responsibilities
- Arrange and manage travel itineraries, pack luggage, and accompany the Principal on domestic and overseas trips to ensure smooth travel arrangements.
- Coordinate personal image preparation by scheduling makeup appointments, coordinating outfits, and setting up styling areas for events.
- Record meeting minutes, manage documentation, file records, and maintain accurate administrative records.
- Organise the household environment, manage inventory, arrange meals and refreshments, and oversee wardrobe management.
- Arrange and present household décor, artwork, and photographs to maintain an organised and visually appealing environment.
- Procure personal and household items by maintaining vendor contacts and coordinating purchases with relevant vendors or retailers.
- Accompany the Principal on shopping trips for clothing, handbags, cosmetics, skincare products, and other personal items as required.
- Perform additional personal, administrative, and ad-hoc duties as assigned.
Preferred Competencies and Qualifications
- Experience as a Personal Assistant, Executive Assistant, Lifestyle Assistant, or in a similar private-client support role.
- Strong organisational, coordination, and time-management skills with attention to detail.
- Ability to handle personal and confidential matters with professionalism and discretion.
- Resourceful, service-oriented, adaptable, and able to manage multiple priorities independently.
- Comfortable supporting travel, personal arrangements, procurement, and household-related matters.
- Ability to communicate effectively in Mandarin and read and write Chinese, as the role requires regular communication with Mandarin-speaking stakeholders and handling Chinese-language instructions, correspondence, and documentation.
Other Information
- Work schedule includes 8-hour rotating shifts, 5 working days per week.
- Working hours are either 9:00 AM – 6:00 PM or 10:00 AM – 7:00 PM.
- Weekly rest days include one weekday and one weekend day.
- Overseas travel may be required during school holidays.
- Flexibility to provide coverage during colleagues’ leave or absence is expected.
- Lunch and/or dinner will be provided where applicable.
