A significant part of the position involves monitoring project financials, analysing budget performance, preparing management reports, and ensuring accurate financial and governance information.

Key Responsibilities

  • Support day-to-day PMO operations across multiple projects and programme workstreams.
  • Ensure project teams follow established governance frameworks, reporting standards, controls, and PMO processes.
  • Coordinate programme reviews, governance meetings, steering committee updates, and management reporting.
  • Work closely with Project Managers, Delivery Leads, business stakeholders, and other project teams.
  • Maintain governance artefacts, decision logs, project records, and document repositories.
  • Ensure project documentation remains accurate, complete, current, and audit-ready.

Project Financial Management

  • Maintain accurate project financial trackers, forecasts, and management reports.
  • Monitor approved budgets, actual expenditure, committed costs, forecasts, burn rates, and funding utilisation.
  • Analyse financial data to identify budget variances, cost overruns, spending trends, and potential financial risks.
  • Support monthly financial closing, accruals, invoice verification, reconciliation, and cost allocation activities.
  • Prepare financial dashboards, reports, and executive summaries for project leadership.
  • Support Project Managers with budgeting, forecasting, financial planning, and funding submissions.
  • Track financial commitments against approved budgets and highlight potential variances or constraints.
  • Support resource cost planning and workforce cost forecasting.
  • Review relevant financial documentation, procurement requests, change requests, and approval papers for completeness and compliance.
  • Collaborate with Finance, Procurement, Vendor Management, and project teams on budget management, financial reporting, and invoice processing.

Project Tracking, Reporting & Controls

  • Maintain accurate project information covering schedules, scope, financials, risks, issues, dependencies, resources, and deliverables.
  • Consolidate project performance information and prepare weekly, monthly, and management-level status reports.
  • Track project milestones, deliverables, budget utilisation, and resource allocation.
  • Develop and maintain PMO dashboards, trackers, and reporting tools.
  • Maintain RAID logs covering Risks, Assumptions, Issues, and Dependencies.
  • Follow up on risks, issues, dependencies, decisions, and outstanding actions through closure.
  • Support project audits, compliance reviews, and governance checkpoints.
  • Identify reporting inconsistencies, data quality issues, and opportunities to improve PMO processes.

Project Administration & Resource Management

  • Support project invoice processing, vendor payments, purchase requests, and timesheet administration.
  • Coordinate resource onboarding, offboarding, access provisioning, and related project activities.
  • Maintain resource plans, utilisation reports, leave trackers, and workforce planning information.
  • Coordinate project meetings, workshops, governance sessions, and stakeholder engagements.
  • Prepare meeting minutes, document decisions, and track actions through completion.
  • Maintain shared project repositories and ensure appropriate document organisation and version control.

Required Skills

  • Diploma or Bachelor's Degree in Business, Finance, Accounting, Information Technology, Project Management, or a related discipline.
  • Relevant experience in PMO, project coordination, programme support, project finance, business operations, or project administration.
  • Good understanding of project governance, project controls, and project lifecycle processes.
  • Strong financial analysis and numerical skills.
  • Experience with project budgeting, forecasting, cost tracking, financial reconciliation, or management reporting.
  • Strong proficiency in Microsoft Excel, including Pivot Tables, Lookups, formulas, data analysis, and reporting.
  • Experience preparing project dashboards, management reports, presentations, and status updates.
  • Strong organisational skills with excellent attention to detail.
  • Ability to manage multiple activities, deadlines, and stakeholders simultaneously.
  • Good analytical and problem-solving capabilities.
  • Strong written and verbal communication skills.
  • Ability to work effectively with Project Managers, Finance, Procurement, vendors, and business stakeholders.

Preferred Skills

  • Experience using Power BI or other dashboard and reporting tools.
  • Familiarity with project portfolio management or enterprise project management systems.
  • Experience supporting large-scale technology or transformation programmes.
  • Exposure to public sector or complex enterprise project environments.
  • Understanding of procurement, vendor management, purchase orders, accruals, and invoice processes.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
