Core Requirements of the Post

Procurement Operations

  • Manage and support the end-to-end procurement process, including sourcing, quotation evaluation, purchase requisitions, purchase orders, supplier management, contract administration, inventory coordination and invoice reconciliation.
  • Support the continuous improvement and digitalisation of procurement and operational processes through workflow automation, data management and system optimisation.
  • Support the Deputy Head of Operations in implementing digital initiatives, operational reporting, data governance and process improvement projects.
  • Support the Facilities Manager in procurement activities relating to tenders.
  • Obtain and evaluate quotations from suppliers to ensure competitiveness, quality, and value for money.
  • Process purchase requisitions and ensure timely fulfillment of procurement requests.
  • Monitor order status, delivery schedules, and resolve procurement-related issues.

Vendor Management

  • Source, qualify, and maintain relationships with suppliers and service providers.
  • Conduct supplier evaluations and performance reviews.
  • Negotiate pricing, delivery terms, service levels, and contractual agreements.
  • Maintain accurate procurement records, contracts, and documentation.
  • Support audits by providing procurement-related documentation and reports.
  • Mitigate procurement and supplier-related risks through proper due diligence and vendor assessment.

Stakeholder Collaboration

  • Work closely with internal departments to understand procurement requirements and business needs.
  • Coordinate with Finance, Operations, and end-users to ensure smooth procurement processes.

  • Assist in whole school marketing initiatives and contribute to the growth of the school.
  • Always operate within the stated policies and practices of the school.
  • Maintain an up-to-date knowledge and understanding of curriculum and innovative pedagogy.
  • Meet responsibilities regarding safeguarding; health and safety, equal opportunities and other relevant legislation and conform to professional and ethical requirements.
  • Any other appropriate duties as allocated by the Deputy Head of Operations or Director of Operations.
