Reporting to: Principals, IDH and ICS

The Programmes & Partnership Manager/Executive is responsible for planning and administering a robust Extra Curricular Programme (ECA) that is attractive to our students in Years 1 through 13 on both campuses, and also supports the academic programme offered throughout the regular school day. The Programmes & Partnerships Manager/Executive collaborates with the PE Academic Team; the Marketing and Admissions Team, school receptionists and secretaries, and school leadership.

Key Responsibilities

The ECA Executive must respond to the interests and needs of the educational leaders, students and parents to develop a holistic, challenging and engaging programme of after-school activities encompassing sports, life skills, the arts, technology, and outdoor education.

The post holder must:

  • Create and maintain a brochure advertising the programme to the community
  • Maintain an online registration and payment platform
  • Track data regarding student interest, demands, enrollment and areas for strategic development
  • Organise key events to showcase ECAs within the school community, including competitions, performances and exhibitions
  • Maintain professional, timely and constructive communication with key stakeholders, including parents, students, activity vendors, teachers, school leadership and school administration
  • Monitor daily attendance records
  • Review the quality of the ECA programme and providers at regular intervals
  • Ensure that all providers have been vetted for appropriateness to work with children through completed appropriate background checks and safeguarding training before working with children, and annually thereafter

1. Planning and Coordination

  • Find, develop and manage partnerships with various programme vendors to create vibrant learning opportunities for students in Singapore Invictus schools.
  • Oversee and manage programming plans, timelines and implementation from start to finish.
  • Assess operational and logistical requirements for programming; work with finance, operations, outside vendors, and other external partners as needed.
  • Demonstrate ability to analyze, interpret, and communicate school policies, procedures, rules, and regulations to internal and external stakeholders.
  • Manage partners and other resources to ensure proper coordination of all program components and logistics.
  • Create a positive experience through designing, setting up and managing registration systems and processes.
  • Undertake appropriate risk assessments for each ECA, including compiling and maintaining medical information of participants, maintaining supervision ratios, and establishing clear emergency procedures appropriate to the venue and activity.

2. Communications

  • Cultivate business relationships with external stakeholders and potential partners for large-scale programming opportunities.
  • Negotiate financial terms and agreements with programme vendors.
  • Define marketing plans and create all programme-related content and communications including programme descriptions, written correspondence, broadcast emails, social media, and registrations, etc.
  • Handle feedback/complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution.

3. Programme Development

  • Build strong relationships and work collaboratively with all external and internal stakeholders to ensure best-in-class programming for student(s) and the school(s).
  • Collaborate with existing vendors and conduct direct outreach to solicit new and strengthen relationships with vendors/prospective partners and to build interest for programmes.
