The posting

This is a 12-month contract role under Optimum Solutions.

This role supports our client, a leading Southeast Asian superapp that offers a wide range of services, including mobility, food delivery, and digital payments.

Work Schedule: Monday - Friday, 10:00 AM - 7:00 PM. (inclusive of a 1-hour lunch break)

Responsibilities:

• Provide daily team support, enquiry assistance and procedures, from hardware to software management (i.e. Figma) to the maintenance of design assets.

• Plan and coordinate various design events, from minor design workshops to complex off-site events.

• Make arrangements for meetings, presentations, training, and events to be organized.

• Schedule appointments and manage calendars for the department.

• Assist with the administrative aspects of the department, such as maintenance of the travel expense tracker, new-hire onboarding and vendor sourcing management.

• Assist the Design Producers in ensuring that all aspects of project coordination and planning are attended to for on-time completion.

• Help ensure projects are running smoothly on schedule, highlight any blockers and dependencies to avoid interruptions, manage timely project communication updates and resolve conflicting priorities.

Qualifications:

• Meticulous, organized, and detail-oriented, with a thorough approach to work.

• Comfortable with ambiguity, candid, and able to debate respectfully when needed.

• Ability to grasp complex issues quickly and focus on critical priorities.

• Able to provide structure and facilitate decision-making with limited direction, while understanding when to collaborate with the extended team.

• Have a can-do attitude, a deep appreciation for user-centered design, and a focus on solving user problems.

• Have at least 3 years of experience in coordination, project planning, or administration roles, preferably in a design-related or technology environment.
