Job Summary
Support the Head of Site in administrative, financial, and maintenance functions to ensure effective property management and operational excellence in residential properties.
Responsibilities
- Prepare detailed reports for council and Management Corporation meetings to support decision-making
- Respond promptly and professionally to inquiries and complaints to maintain stakeholder satisfaction
- Organize and maintain accurate documents and files to ensure easy retrieval and compliance
- Requisition quotations for repair and maintenance works to facilitate budgeting and approvals
- Develop and submit recommendations for repair and maintenance works for management approval
- Issue work orders and purchase orders upon approval to initiate repair and maintenance activities
- Provide purchase orders and evidence of completed work to support timely payment processing
- Assist in executing approved work plans to ensure timely completion of maintenance tasks
- Monitor service providers’ attendance and compliance with service schedules, reporting any performance issues to the Head of Site
- Conduct regular property inspections and perform repairs to maintain property condition and operational standards
Required competencies and certifications
- Proficient oral and written communication skills to effectively liaise with stakeholders
- Positive, can-do attitude to drive task completion and problem resolution
- Ability to manage difficult conversations professionally to maintain constructive relationships
- Capability to work efficiently in a fast-paced environment to meet deadlines
- Willingness and ability to travel to Northeast and West locations as required
- Strong knowledge of current technology and proficiency in MS Office applications to support administrative tasks
- Minimum 6 years’ experience in residential property management to ensure domain expertise
- NITEC, diploma, or degree in engineering, facility, or property management; or Accredited Managing Agent Individual certification with relevant professional credentials
