About the Role

You'll be involved across the full grants cycle — from collating and checking proposals and coordinating review meetings, to liaising with grantees on pre- and post-award matters, tracking milestones and KPIs, and preparing data and reports for stakeholders.

You'll also support the communication of grant policies and processes and assist with ecosystem events such as grant briefings and roadshows.

What You Will Do

Grants Documentation & Compliance

  • Collate and review grants documentation including proposals, progress reports, variation requests, and fund requisitions — covering completeness checks, PI debarment checks, KPI verification, and claims checks
  • Update and maintain data entries on digital grants systems and archive documentation
  • Execute policies and processes pertaining to the administration of funding initiatives
  • Assist grant officers and managers with internal and external audits

Grant Review & Secretariat Support

  • Provide secretariat support for grant review meetings, including scheduling, material collation, minutes writing, venue and logistics coordination, catering, and travel and accommodation arrangements
  • Coordinate meetings across different time zones where required

Stakeholder Liaison & Communications

  • Liaise with grantees on pre- and post-award matters
  • Front general communications on grant queries from internal and external stakeholders
  • Coordinate and track responses from grant officers for scheme-specific queries
  • Communicate funding initiative policies and processes to public sector research performers
  • Prepare and disseminate electronic direct mail (eDM) and grant circulars

Reporting & Data Management

  • Collate, clean, maintain, and analyse project KPI data and other grant-related data for stakeholder reporting
  • Regularly review progress of awarded grants to ensure milestones, KPIs, and budgets are on track, and flag issues for early intervention

Events & Administration

  • Support ecosystem grant events such as roadshows and grant briefings
  • Support internal training workshops and engagement sessions
  • Assist with procurement and other back-office administrative tasks

What We Are Looking For

  • Degree in Business Administration, Public Policy, Finance, Science, or a related field
  • Prior experience in grants management, research administration, or compliance-related roles preferred
  • Meticulous attention to detail, particularly in documentation review and data management
