The posting

An experience candidate can be considered for a more senior position.

Reporting to the Team Lead of Resource Planning and Management (RPM), the incumbent will:

  1. Manage asset management operations and serve as System Administrator for asset management systems, ensuring accurate asset records, data integrity, system governance, user support and compliance with institutional policies.
  2. Ensure day-to-day asset and procurement processes are executed accurately, efficiently and in compliance with policies and operational requirements.
  3. Drive transformation by reviewing workflows, identifying improvement opportunities, and supporting the use of automation, Artificial Intelligence, RFID and digital solutions to strengthen visibility, productivity, compliance and service delivery across the division.

Key Responsibilities

  • Manage the Division’s asset management processes, including asset lifecycle tracking, data updates, asset verification exercises, transfers and disposals, in collaboration with lab and asset custodians.
  • Serve as the system administrator for Asset Management Systems, ensuring effective system administration, governance and compliance with institutional policies. This includes data uploads and updates, administer system configurations, and provide user support, troubleshooting and issue resolution for asset management systems.
  • Monitor system performance and data quality, conduct regular validation and reconciliation exercises, and implement corrective actions to maintain accurate, reliable and auditable records.
  • Review existing procurement and asset workflows, identify operational pain points and implement practical process improvements to enhance efficiency, turnaround time and controls.
  • Support the use of automation and Artificial Intelligence, such as analytics, document processing and workflow automation, to help operationalise digital solutions, including dashboards, tracking systems and automated workflows.
  • Provide procurement support and guidance to stakeholders while ensuring compliance with procurement processes.
  • Provide secretariat support for division and committee/workgroup meetings.
  • Undertake any other duties as assigned by the Director and supervising officer for the effective support of division operations and activities.
  • Job Requirements
  • University degree with 8 years' experience, preferably in database system management, procurement, and project management.
  • Proficient in using AI and automation tools to drive process improvements and automate workflow, with strong knowledge in project management practices.
  • Adaptable, with the ability to work both independently and collaboratively as an effective team player to achieve objectives.
  • Strong communication and interpersonal skills, with excellent written and verbal abilities.
  • Highly organised and detail-oriented, with a strong focus on accuracy and completeness.
  • Positive attitude, with strong interpersonal and rapport-building skills.
