Sales Admin Executive (IT Industry)

📍 Paya Lebar | 🕘 Monday–Friday, 9am–6pm | 🏢 Office-based

We are looking for a responsible and organised Sales Admin Executive to support our day-to-day sales operations.

You don't need to be an IT expert. We have internal tools to assist with quotations, pricing and sales processes, and we will provide training on our products and systems.

This role is suitable for someone who is comfortable using computers, enjoys supporting customers, and is good at keeping track of enquiries and following things through.

🌟 What You’ll Do

  • Monitor incoming customer enquiries and ensure emails and requests are attended to promptly
  • Keep track of open enquiries and follow up so that customer requests do not get overlooked
  • Respond to customer enquiries via email, phone and online platforms
  • Prepare quotations using our internal quotation and pricing tools
  • Check quotation details for accuracy before sending them to customers
  • Provide basic product, pricing and availability information
  • Prepare Proforma Invoices (PI) and process customer orders
  • Hand over confirmed orders to our Operations team for invoicing and delivery
  • Maintain and update pricelists and sales information
  • Liaise with suppliers on pricing, stock availability and lead times
  • Follow up on quotations and other outstanding matters
  • Assist with project coordination and administrative follow-up
  • Use and provide feedback on new internal tools and automated workflows as we continue improving our sales processes

✅ What We’re Looking For

  • Good at keeping track of emails, tasks and follow-ups
  • Responsible and organised, with a strong sense of follow-through
  • Comfortable using Microsoft Outlook, Excel and Word
  • Comfortable learning and using new software and internal tools
  • Able to communicate clearly in English
  • Comfortable working with basic numbers and pricing
  • Careful enough to check work before sending it to customers
  • Responsive and able to prioritise customer requests
  • Willing to learn and adapt as our processes and tools improve
  • Positive attitude and able to work well in a small team

0–2 years of working experience is suitable for this role.

Experience in sales administration, customer service, order processing or IT-related businesses is an advantage, but not essential.
