Sales Administration & General Support
- Provide administrative and ad-hoc support to the sales team, including preparing correspondence, filing and maintaining records, photocopying, answering phone calls, and other general office duties.
- Maintain accurate and up-to-date sales and customer records and documentation.
- Arrange courier services for documents, parcels, samples, and other business items, including coordinating collections, deliveries, tracking, and related documentation.
Sales Order Processing & Coordination
- Process and coordinate sales orders to ensure they are handled accurately and promptly.
- Prepare and issue sales and shipping documents, including quotations, purchase orders, order confirmations, delivery notes, tax invoices, packing lists, and other relevant documents.
- Coordinate with customers to confirm order details, delivery requirements, documentation, and order status.
- Follow up with customers on outstanding orders, delivery schedules, documentation, and other sales-related matters.
- Liaise closely with the warehouse team and external logistics providers to coordinate import and export shipments, deliveries, collections, and other logistical arrangements.
- Monitor order fulfilment and proactively follow up on any delays, discrepancies, or issues to ensure timely delivery.
- Coordinate and assist with stock replenishment orders, inventory requirements, and year-end stock audit.
Trade & Shipping Documentation
- Prepare, submit, and follow up on trade and shipping-related documentation as required.
- Submit Letters of Credit (L/C) and related documents to banks and coordinate with relevant parties on documentation requirements.
- Assist with applications for Certificates of Origin and other relevant trade documents through the Singapore Manufacturing Federation (SMF) or other applicable authorities.
- Ensure sales and shipping documentation is complete, accurate, and properly maintained.
Customer & Internal Coordination
- Coordinate communication among customers, sales personnel, the warehouse team, logistics providers, suppliers, and other internal departments.
- Provide timely responses and follow-up on customer enquiries, order status, delivery arrangements, and documentation matters.
- Support the sales team in ensuring smooth order-to-delivery processes and maintaining good customer service standards.
Other Duties
- Perform administrative errands and other business-related tasks as required.
- Undertake any other duties and responsibilities as assigned by the Company from time to time
