The posting

Primary Responsibilities

  • Match and verify purchase orders, pick lists, invoices, and related documents to ensure accuracy.
  • Upload customer orders into internal systems and portals according to operational cut-off timings.
  • Coordinate and manage internal stakeholder communication channels and group chats for order fulfilment and operational matters.
  • Handle urgent orders, delivery escalations, and post-delivery issues during weekends and public holidays.
  • Serve as the key coordinator for WD ordering and liaise directly with WDPL to ensure smooth fulfilment.
  • Provide backup support for Customer Service Executive duties during manpower shortages, leave periods, and peak operational demands.

Secondary Responsibilities

  • Serve as the first point of contact for customers via email, phone, and WhatsApp.
  • Process and manage customer orders, including bulk orders and scheduled deliveries.
  • Ensure order accuracy, pricing consistency, and proper documentation.
  • Handle product enquiries, lead times, pricing enquiries, and order-related matters.
  • Manage post-delivery issues, including exchange, returns, and delivery discrepancies.
  • Prepare customer quotations based on approved pricing and guidance from the Sales/Commercial team.
  • Provide supporting documents such as Halal Certificates, Product Specifications, Certificates of Analysis, and other required documents.
  • Work closely with Warehouse, Logistics, Sales, and other internal stakeholders to ensure positive customer outcomes.
  • Process backend documents to ensure order, picking, and delivery accuracy.
  • Perform other ad-hoc duties assigned by management.

Requirements

  • Minimum 1-3 years of experience in Sales Administration, Order Processing, Customer Service, or related functions.
  • Experience in FMCG, Food Service, Distribution, or Trading industries is advantageous.
  • Proficient in Microsoft Office applications, particularly Excel.
  • Experience with SAP is a plus
  • Strong attention to detail and organizational skills.
  • Ability to multitask and work in a fast-paced environment.
  • Good communication and interpersonal skills.
  • Fluency in English, both written and spoken.

Work Arrangements

  • Working Days: 5-day work week on a roster basis from Monday to Sunday.
  • Roster Arrangement: 4 weekdays and 1 weekend day per week.
  • Working Hours: 8:00 AM to 5:00 PM or 9:00 AM to 6:00 PM.
  • Work Location: Tuas, shuttle bus and Meal provided
  • Work From Home: No work-from-home arrangement. This position is fully office-based.
