We are seekinga proactive, organised, and detail-oriented Senior / Associate Executive toprovide administrative support to the department and ensure smooth day-to-day operations.
Key Responsibilities
- Coordinate departmental meetings, including scheduling, preparation of agendas, and recording of meeting minutes.
- Manage departmental correspondence, filing systems, and records, including:
- Submission of departmental KPI reports to relevant departments.
- Consolidation of attendance records for meetings, tutorials, and ward rounds.
- Maintenance of departmental documentation and databases.
- Plan and coordinate departmental rosters for staff postings at external hospitals.
- Oversee the procurement and inventory management of office supplies and equipment.
- Coordinate staff onboarding and offboarding processes, including:
- System access requests.
- Laptop and IT equipment provisioning and return.
- Liaison with relevant support departments.
- Serve as the department's representative on institutional committees, such as Workplace Safety and Health (WSH).
- Act as the primary liaison for matters relating to Residents, Medical Officers, and Clinical Fellows, providing administrative coordination and support.
- Collaborate with internal and external stakeholders to ensure efficient departmental operations and timely resolution of administrative matters.
- Undertake other administrative duties and projects as assigned by the department.
Requirements
- Diploma in Business Administration, Healthcare Administration, or a related discipline with at least 2 years’ of relevant administrative experience preferably in healthcare sector.
- Strong organisational, coordination, and multitasking skills.
- Excellent interpersonal and communication skills.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
- Able to work independently while managing multiple priorities
- Meticulous, resourceful, and service-oriented with strong attention to detail.
