[Contract Position]

Job Description:

SINDA seeks a dynamic Senior Administration Executive to oversee procurement and contract administration for administrative services and key events, including venue sourcing, vendor management, and event coordination. The role also supports office Addition and Alteration (A&A) projects through effective coordination of consultants and contractors, project phasing, and workplace continuity arrangements to ensure smooth operations.

Responsibilities:

Administrative Operations & Facilities Management

  • Provide administrative and logistics support for day-to-day operations, events, and emergency situations, including office services, facilities, assets, vendors, and billing
  • Coordinate the setting up of facilities for meetings, events, and organisational activities
  • Manage assets and inventories to ensure accurate records and availability
  • Support tenancy-related matters and liaise with relevant stakeholders

Procurement & Contract Management

  • Manage procurement activities, including tenders, quotations, and term contracts
  • Develop tender specifications and requirements for new services
  • Conduct demand aggregation exercises across the organisation to achieve procurement efficiencies
  • Source and evaluate vendors for products and services

Vendor & Budget Administration

  • Review and verify vendor billings against contractual terms and service delivery requirements
  • Maintain records of procurement and vendor expenditures for analysis and reporting
  • Analyse vendor budget utilisation and identify opportunities for cost optimisation

Event Management & Logistics

  • Coordinate organisation-wide events, including venue sourcing, procurement of event-related services, logistics planning, and on-site support
  • Provide administrative and logistical support for special events and corporate functions

Others

  • Provide administrative and secretariat support for committees and corporate meetings, including EXCO, BOT, AGM, and other organisational platforms
  • Any other duties as assigned by the Reporting Officer and Head of Department

Requirements:

  • Diploma or Degree in Business Administration, Facilities Management, Operations Management, Event Management or related disciplines
  • At least 3 to 5 years of relevant experience in procurement and contract management, including developing requirements specifications, evaluating vendor proposals, and managing vendor relationships and performance. Candidates with relevant experience and competencies are encouraged to apply
  • Proficiency in Microsoft Office; familiarity with data visualisation tools (e.g., Excel dashboards, Power BI, Tableau) will be considered an added advantage
  • Excellent verbal and written communication skills
  • Ability to work independently and collaboratively in a fast‑paced environment
  • Experience supporting corporate events, stakeholder engagement, or event logistics would be an advantage
  • Willingness to support organisational events outside normal office hours when required. Approved additional hours worked will be compensated through time-off-in-lieu in accordance with organisational policies
