The posting
This is a 1-year contract role, with potential renewal or conversion based on performance and organisational headcount.
Course Planning & Scheduling
- Set up the overall course schedule in the Student Management System based on approved course information from the School.
- Generate accurate course timetables using the scheduling system and release them to relevant stakeholders within the agreed timeframe.
- Work with the Assistant Head of School for deployment of full-time academics and Associate Lecturers.
- Communicate accurate schedule updates promptly to relevant stakeholders whenever changes occur.
- Liaise with vendors on outsourced services, including lecturer placement, contract issuance and payroll processing.
Resource Planning & Data Management
- Plan and manage resources, including rooms, laboratories and lecturers, using the Scheduling System to support smooth delivery of courses.
- Input, maintain and update course information to Student Management System (SMS) and I or other applicable applications.
- Maintain up-to-date centralised database of registered Associate Lecturers, modules and courses they are approved to teach.
- Conduct for briefings for newly approved and appointed lecturers as required.
- Liaise with ODQA to obtain and implement statutory updates affecting courses and Associate Lecturers.
Exams
• Liaise with Examination Centre to plan examination schedules for assigned modules in each examination block.
General Matters
• Maintain complete and accurate documents and records to support compliance with applicable EduTrust Certification requirements.
Job Requirements
- Degree in any discipline, preferably in Business Management/Ops Management.
- 1-2 years of relevant working experience in in the Private Education Industry.
- Meticulous with strong organizational and administrative skills.
- Self-motivated and able to work independently.
- A strong team player with customer-oriented mindset.
- Stronge communication skills with the ability to liaise effectively with internal and external stakeholders.
- Able to prioritise multiple tasks, meet deadlines and maintain accuracy under pressure in a fast-paced work environment.
- Proficient in Microsoft Office applications.
- Experience using scheduling, timetabling or resource optimisation systems is an advantage.
- Willingness to work on weekends and occasional evenings when operationally required.
