Key Responsibilities
- Assist the HR & Accounts Manager in managing daily HR operations.
- Coordinate recruitment, interviews, selection, and onboarding activities.
- Prepare employment contracts, confirmation letters, promotion letters, transfer letters, resignation acknowledgements, and other HR documentation.
- Process Employment Pass, S Pass, Work Permit applications, renewals, cancellations, and other employment-related matters.
- Maintain accurate and up-to-date employee records, personnel files, and HR documentation.
- Monitor staff attendance, leave administration, working hours, benefits, and other employee entitlements.
- Review payroll-related HR information, including attendance, leave, overtime, commissions, incentives, and other staff claims.
- Coordinate staff learning, development, and training programmes.
- Track employee certifications, licences, and mandatory training requirements.
- Support employee performance appraisal, KPI monitoring, and review processes.
- Assist in employee counselling, grievance handling, disciplinary matters, and performance improvement processes.
- Coordinate employee confirmation, promotion, salary review, transfer, and offboarding processes.
- Ensure HR practices comply with MOM requirements, the Employment Act, CPF regulations, and company policies.
- Review HR policies, procedures, and SOPs and recommend improvements where necessary.
- Prepare HR documents and records required for internal, external, regulatory, and compliance audits.
- Liaise with MOM, CPF Board, government agencies, recruitment agencies, training providers, and other external HR service providers where required.
- Support employee engagement, welfare, and staff communication initiatives.
- Supervise, guide, and coach HR Executives and other assigned HR support staff.
- Maintain confidentiality of employee information and ensure proper handling of sensitive HR records.
- Perform other HR-related duties as assigned by Management.
